Job Title: Facilities Coordinator/Admin AssistantType: 6-18 Months ContractLocation: Hazelwood,MO 63042Job DescriptionThe purpose of this position is to coordinate service response of facilities technicians to support the safe and efficient operations of multiple departments on campus. Review and update of departmental procedures, work instructions and preventive maintenance procedures. This also includes generating maintenance documents according to requested needs, assuring compliance to all applicable document and data control standards, and providing system administrator services for the Facilities department.PRIMARY DUTIES:1. Monitors and maintains the departmental work request inbox, providing detail of work to be performed as a documented work order for technician execution.2. Collaborates with departmental personnel and decides the best and most efficient ways to manage work tasks and escalations.3. Responsible for departmental budget tracking, invoice coordination and interaction with the accounts payable team, providing consolidated approvals daily with the department manager.4. Responsible for tracking of work order status and report creation within the Preventative Maintenance System including: maintaining preventative maintenance system, setting up and maintaining electronic preventative database including inventory control, issues predicative maintenance work orders, conducts annual reviews and updates control accuracy of Preventative Maintenance Procedures.5. Performs standard and diversified administrative duties including: running reports, ordering supplies, ETC.KNOWLEDGE, EXPERIENCE & SKILLSRequires a minimum of 3 years of experience in documentation control, preferably in a related industry.Must have advanced PC skills including Microsoft Office Package (Word, Excel, Access, etc.)Must be able to read and understand complex procedures.
