We are looking for a Project Administrator to join our team in Kihei, Maui.Position SummaryUnder the direction of the Owner/Construction Manager, the Project Administrator manages vendor coordination, contract administration, and project documentation for residential production home builds.This position ensures that homes are built on schedule and within budget by coordinating material procurement, maintaining accurate job cost records, processing contracts and change orders, and supporting field operations with timely and organized administrative services. The ideal candidate is detail-oriented, organized, proactive, and capable of balancing multiple homes in various stages of construction while maintaining strong relationships with vendors, trade partners, field staff, and homeowners.Essential FunctionsProject Coordination & ProcurementSolicit, evaluate, and compare bids from vendors and subcontractorsPrepare and manage project budgets and cost tracking spreadsheetsMaintain accurate option pricing and cost databasesIssue purchase orders and subcontract agreementsNegotiate pricing and terms with suppliers and trade partnersTrack material lead times and ensure timely deliveryConstruction & Field SupportCoordinate closely with the Construction Manager to align purchasing with build schedulesReview plans, specifications, and selections to ensure scope accuracy before orderingProcess homeowner selections and change orders, including pricing and documentationFinancial & Contract AdministrationMaintain job cost tracking and support budget managementVerify invoices against purchase orders and approve for paymentAssist with monthly budget reviews and cost variance reportingPrepare subcontractor payment applications and lien releasesPublish Notices of CompletionDocumentation & ComplianceMaintain organized digital project filesCoordinate permit documentation and inspections as requiredSupport warranty documentation and project closeout packagesCommunication & Continuous ImprovementServe as a key point of communication between vendors, trade partners, field teams, and internal stakeholdersAssist leadership with reporting, forecasting, and cost analysisIdentify opportunities for cost savings and process improvementsCompetitive Benefits & Total Rewards at Goodfellow Bros.At Goodfellow Bros., employee well-being is a top priority.
