Responsibilities: The EA will be responsible for supporting the General Manager and their Executive Committee of five members.Domestic and international travel and expense claimsPlan and coordinate all logistics for internal/external events such as teambuilding events, staff events on-site and off-site, internal workshop learning programs, external client meetings and all other ad-hoc event requirements.Managing logistics for visitorsMaintain current e-mail distribution lists in Outlook.Modification and distribution of departmental reportsLight meeting minutesCompletion of any projects or tasks, as requested by management demonstrating a strategic, flexible and, forward thinking approach.Operational controlsOrder supplies and coordinate with IT procurementManage building related queries, logistics and invoices.Other specific tasks and projects as required by the Head of GFS USThe ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and must be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the General Manager of GFS US. This person must have the ability to interact with staff (at all levels) in a high-energy, high-pressure environment. Exhibiting initiative, flexibility, resourcefulness and efficiency, with a high degree of professionalism and confidentiality, is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. This position will also require an individual who has high technical capabilities and is able to manage multiple technology mediums (i.e. electronic filing, software and hardware skills) and be proficient in managing many devices such as iPhone, laptops and conferencing systems.Minimum Required Qualifications:7 years of relevant experience; C-suite track recordExcellent communication skills: anticipate needs and escalate issues with discretion and confidentialityFrench speaking is a plus but not a requirement .Proven skills in time management, prioritization and reactivityEfficient, resourceful and curious, a skilled problem-solverStrong calendar management skills, including full coordination of complex executive meetings.Proven experience with the creation of PowerPoint presentationsStrong knowledge of MS Office, including Word, Excel, PowerPoint and OutlookAbility to plan and manage complicated domestic/international travel arrangements .High ethical standardsFlexibility to adapt to a new and changing environment.Enjoys working in high-pressure environment and can take initiative to prioritize and manage the senior manager.Preferred Qualifications:Event planning experienceInvoice processing experienceStrong technical troubleshooting skillsReporting expertise using Excel or TableauProject management experience
