Please note: Discretion is required when handling all contractual documents.
The position of an Assistant Contract Administrator consists of, but is not limited to, assisting the Senior Contract Specialist with the following task listing:
Contract Documents
Contract Documents (Chinchor and Owner/Chinchor and General Contractor)
Review of Contract Provided by Owner/Contractor
Disbursement of Contract to in-house parties (Don/Mariah/Tim/Zack)
Addendum Draft for all contract negotiations
Communications to outside parties regarding negotiations
Communications with internal parties regarding negotiations
Follow-ups on negotiations and fully executed documents.
Requesting/Submitting/Saving Certificates of Insurance
If required per contract, requesting bonds.
Receiving and recording active bonds
If bond is required by Municipality/Federal Entity, etc. – sending bonds for recording.
If subcontractor bond is required, bond will not need recording, log and provide to necessary parties.

Subcontract Documents
Issuing Subcontract Documents
Requesting Certificate of Insurance and verification of coverage/receipt
Providing vendor packages to new Subcontractors (provide to AP for account set-up)
Communication with Subcontractors regarding negotiations (provide to Mariah/Don for review)
Coordinate with PM, EEO Officer, Accounting, Directors, on when all documents are complete, and Subcontractor may be scheduled.
Follow-ups with necessary parties
Issuing Change Orders to Subcontractors
EEO Assistance for Federal Projects
Collect EEO Package Documents from each Subcontractor, annually if not bi-annually.
Sublet submissions – as needed or until mastered then fully taking on task.
Rental Agreements.
Temporary Employment Agency Documentation.
Communications with compliance specialists and prime contractors
Communications with Subcontractors
Requesting additional classifications on Prime projects for Chinchor and Subcontractors, as needed
General compliance with local, state, and federal contract compliance and EEO laws and regulations
Other EEO-related duties, as assigned.
The above tasks are subject to change depending upon the growth of the Company. Should additional tasks be added or removed to this listing all necessary parties will be notified.
