We are seeking a highly organized and professional Administrative Assistant to join our team. The ideal candidate will serve as the first point of contact for our clients, visitors, and employees, providing exceptional support while managing various administrative tasks. This role requires strong clerical skills, excellent phone etiquette, and the ability to maintain efficient front desk operations. This position is essential in helping our organization run smoothly and in supporting both our staff and the individuals we serve. Responsibilities: ● Greet and welcome visitors in a friendly and professional manner. ● Answer phone calls, manage inquiries, and direct calls to appropriate personnel. ● Perform clerical duties including filing, data entry, and document preparation. ● Maintain an organized front desk area to ensure a welcoming environment. ● Manage and distribute incoming and outgoing mail. ● Document appointments and programs in the Google program and appointment schedule. ● Updating ISP acknowledgement forms. ● Transporting tasks into the daily tracking spreadsheet ● Maintaining and updating all assigned spreadsheets. ● Managing the phone system for after-hours and on-call weekends ● Maintaining office supplies and placing orders when needed. ● Maintain meeting minutes, ensuring accurate documentation of discussions, decisions, and action items. ● Assisting with special projects as assigned. ● Maintaining confidentiality of information. ● Preform quick scheduling adjustments, including same-day changes, while clearly and efficiently communicating updates to staff to ensure continuity of operations. ● Ensuring the office environment is organized and professional. ● File, organize, and transmit records and documentation to human resources in a timely and confidential manner. ● Monitor fleet vehicle usage by checking vehicles in and out, completing pre- and post-usage inspections and documenting accurately. Qualifications Experience and Education: High School graduate or equivalent required. Prior experience in an office setting is preferred. Knowledge Of: Mental and developmental services preferred but not required. Google operating system. Confidentiality laws and HIPPA. Ability To: Answer multi-lane telephones, operate computers and supporting equipment, exhibit strong interpersonal skills, maintain cooperative relationship with staff and management, communicate clearly and concisely, exercise critical-thinking skills, maintain organized and accurate records, exercise team coordination skills, and maintain professional appearance. Schedule: In-person 8 hour shift Monday-Friday 8AM-4PM Rotating on-call weekends Pay: $12.00 per hour Benefits: Paid time off People with a criminal record are encouraged to apply Work Location: In person
