Administrative Coordinator

This role ensures accurate time balancing, professional front desk support, and efficient coordination of administrative functions across departments.Timekeeping & Payroll SupportReview, balance, and audit employee timecards for accuracy and completenessEnsure proper labor allocation to jobs, cost codes, and departmentsIdentify and resolve discrepancies in time reportingCoordinate with supervisors and management for approvals and correctionsSupport payroll processing deadlines and compliance requirementsReception & Front Office DutiesAnswer and route incoming phone calls in a professional and timely mannerGreet and assist visitors, vendors, and customersMaintain a clean, organized, and professional front office environmentManage incoming/outgoing mail, deliveries, and general office communicationProvide general administrative support to office and shop personnelProject & Administrative SupportCreate and maintain project setup forms and job documentationAssist with tracking project labor hours and reportingMaintain organized records of job files, work orders, and supporting documentsProvide administrative support to operations, shop, and field teamsGeneral Administrative DutiesEnter and manage data in internal systemsCommunicate effectively with multiple departments across locationsAssist with reporting, audits, and compliance documentationSupport continuous improvement of administrative processesQualificationsHigh school diploma or equivalent required;2+ years of administrative or receptionist experience, preferably in an industrial or manufacturing environmentStrong experience with timecard management, payroll support, or labor trackingExcellent customer service and communication skillsProficient in Microsoft Excel (data entry, basic formulas, reporting)Familiarity with ERP systems or timekeeping softwareHigh attention to detail and strong organizational skillsAbility to manage multiple priorities in a fast-paced environmentPreferred ExperienceExperience supporting operations in rotating equipment, manufacturing, or field servicesUnderstanding of job costing, labor distribution, or project-based work environmentsWhat We OfferCompetitive pay and benefits packageClimate-controlled work environment (location dependent)PPE and safety-first cultureOpportunities for growth and developmentTeam-oriented, family-like cultureAdditional RequirementsMust be able to meet deadlines in a time-sensitive environmentFlexibility to work overtime as needed to support payroll cyclesEqual Opportunity StatementConhagen is an Equal Opportunity Employer.
