Church Administrative Assistant

Brief DescriptionSummary of Primary Purpose:This position provides administrative and operational support to the Campus Pastor by coordinating, organizing, and tracking campus-wide needs and initiatives. The role ensures accurate, timely, and consistent communication across campus operations, and assists in locating, maintaining, and distributing information to support campus leadership, congregants, and volunteers. The position plays a key role in maintaining effective processes and supporting the overall functionality of the campus.Scope Of RoleSupports Hub campus >500+ membersEssential Roles & Responsibilities, Included But Not Limited To Oversee and manage various camps specific needs Support projects and/or programs, and partner closely with other ministries to ensure consistent applications, communication and processes are being followed Connect with congregants and provide direction to proper ministry for assistance or needs (e.g. benevolence/Care, community groups, etc.) Assist in the execution of campus services and events and manage events Ensure events follow required policy and procedure expectations (e.g. insurance requirements, Facility Use Policy, etc.) Ensure events are aligned to budget expectations Schedule is non-traditional work hours (includes weekends and evenings)Administration Manage and schedule calendar of events (e.g. PCO, outlook, whiteboards, etc.) Track and coordinate registrations of events or groups Connect and know status of weekend serve teams to ensure support for effective weekend service Manage and route new requests that come in Assist staff with various tasks to support their ministries Coordinate facility use needs and event planning Capture needed data to review after events to identify needed improvements Oversee and keep current data maintenance (PCO) Participate with various and required campus and all staff meetings. Maintain notes and action items from meetings to ensure items are being tracked and completed timelyCommunication Oversee the use of various materials (e.g. newsletter, flyers, mailers, etc.) for effective communication Ensure slides needed for weekend service is consistent and communicates designated message Oversee all social media (e.g. Instagram, texting, etc.) Ensure all events (e.g. prayer, community groups, services, etc.) are communicated timely with all pertinent information Manage lobby news for consistency and messaging requirements Ensure all approved messaging is conveyed timely and clearly to staff, congregants and volunteers Participate with, 1:1, team ministry meetings as needed, to ensure alignment on initiatives and plans Partner effectively with other ministries to ensure consistencyMinistry Duties/Expectations Desire to grow in discipleship, serving, equipping, learning and leading Personal and growing relationship with Jesus and a humility to testify to it Ability to explain “What Harvest Bible Chapel Believes” Ability to pray with other employees, guests and attendees of the church Be active, engaged and accountable in the congregational life at Harvest Bible ChapelSkills/Knowledge Required Strong communication & listening skills (verbal and written) Highly organized and the ability to prioritize changing needs for the campus Strong attention to detail Ability to meet deadlines and respond quickly to congregant needs Highly interpersonal, displaying hospitality with a positive demeanor Ability to work independently and cooperatively as a member of a team Ability to build rapport and communicate with diplomacy and tact; displays a servant heartEducation And Experience Bachelor’s degree 5 years’ experience working in a highly organized and administrative environmentSalary Information$39,500-47,400
