Seasonal Office Assistant
The Office Assistant role is a summer/seasonal position that plays a key role in supporting the firm’s day-to-day operations by ensuring a professional, organized, and welcoming environment for clients, visitors, and internal team members. This is a part-time position responsible for managing front desk and conference services functions, including greeting guests, coordinating meetings, and supporting attorneys and staff with administrative tasks as needed. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities with professionalism, discretion, and a strong commitment to client service. Preferred hours for this role are 2:00pm – 5:00pm Monday through Thursday, and 8:30am to 5pm on Fridays. Opportunities to pick up additional hours will be available throughout the summer.ESSENTIAL DUTIES AND RESPONSIBILITIESEnsure all callers and visitors feel welcomeProfessionally answer incoming calls within three rings and route accordinglyGreet visitors in a professional, friendly mannerEscort visitors to designated conference rooms and coordinate refreshment choicesProvide callers with information such as firm address, directions to the office, parking instructions, website, and other information related to all firm locationsOrder food for client and team meetings; responsible for tracking receipts and providing charge-back information for accounts payable processingAssist with conference room meal/beverage setupsMaintain neat appearance of conference rooms and main reception areaSchedule conference rooms and visiting attorney offices for individual or reoccurring meetings; must be able to use the conference scheduling software at a proficient levelArrange for video conferencing and/or other technology needsAccept and direct incoming deliveriesCheck, organize, and restock conference room suppliesOrder office and breakroom suppliesMaintain law library collectionAssist with coordination of maintenance requestsReconcile monthly credit card statementConsistently and professionally communicate through internal calls and emails, building strong internal relationshipsProvide support to attorneys, paralegals, and LEAs as neededPrepare, modify, and finalize documents, correspondence, legal documents, transcription, memos, and other materialsProofread all materials for typographical errors, office style conformity, accuracy, and inclusion of required information and enclosuresPerform all other duties as assignedCRITICAL COMPETENCIES Strong ability to manage a wide variety of work streams simultaneously with accuracy and speedDemonstrate a positive attitude, high energy, and a strong passion for your workBe a flexible team player by cooperating and collaborating with others to achieve team and firm goals and objectivesDemonstrate the highest level of integrity, professionalism, and confidentiality consistent with firm mission, values and policiesExhibit a strong work ethic and a willingness to exert more than the minimum effortEngage with internal stakeholders in a professional, clear, concise, positive, and timely mannerApply critical thinking and sound judgment in order to set priorities, meet deadlines, make decisions and independently resolve complex problemsConsistently seek opportunities to advance technical and personal skillsProactively support internal customers and external clients utilizing the most current technology availableDemonstrate initiative and resourcefulness to obtain information needed to perform duties with minimal supervisionCommunicate with team to gather critical information needed for various dutiesADDITIONAL REQUIREMENTSStrong verbal communication skills with a friendly, welcoming demeanorAssociate’s degree or equivalent experienceExcellent organization, time-management, and prioritization skillsFamiliar with Microsoft Office Suite, Excel, and Work10Must have excellent organization skills
