We pride ourselves on offering top-quality products underscored with outstanding service-and that starts with our team.What You'll DoThe AR & Customer Service Specialist plays a key role in supporting customer accounts, order execution, and revenue flow within the KW Oil division. This position ensures accuracy across order processing, billing, and accounts receivable while partnering cross-functionally with operations and finance. You will:Support Customer Orders & OperationsAccurately enter, validate, and manage customer orders in alignment with product specifications, pricing, and delivery requirementsPartner with the Sr. Customer Service Specialist to ensure consistency in order accuracy and customer communicationCoordinate with Dispatch and Warehouse Leadership to ensure timely and accurate order fulfillmentProactively identify and resolve gaps related to scheduling, product availability, or delivery execution Manage Accounts Receivable & Financial AccuracyProcess and apply incoming payments (check, ACH, and other forms) while maintaining accurate account balancesMonitor aging reports and proactively support collection efforts on past due accountsPerform credit checks and assist with new customer account setupInvestigate and resolve billing discrepancies in partnership with customers, sales, and financeSupport account reconciliation, reporting, and month-end close processes, including generating customer statements Maintain Data Integrity & DocumentationEnsure accuracy and consistency across invoices, order records, and financial documentationMaintain alignment between operational and financial systemsDevelop working knowledge of KW Oil products, pricing structures, and workflows to support execution Deliver Strong Customer ExperienceProvide timely, professional communication to internal and external stakeholdersPartner cross-functionally to resolve issues efficiently and maintain service standardsWhat We OfferCompetitive CompensationThe hiring range for this position is $21 to $24.50 per hour and may be based on education, work experience, knowledge, skills and certificationsComprehensive Benefits• Medical & Dental (BlueCross), Vision (EyeMed)• Flexible Savings Account (FSA)• Voluntary Life and AD&D• Voluntary Short-Term Disability• 401(k) Plan with Annual MatchingTime Off & Work-Life Balance• Vacation Time• Personal Time• Illinois Paid Leave• Six Paid HolidaysAdditional Perks• Clean, modern, and well-maintained work environment• Opportunities for advancement within our growing organization*Benefit eligibility may vary based on position, hours worked, and length of employment.
