Private Client Coordinator
ROLE PURPOSEThe Private Client Coordinator will support Bulgari’s High Jewelry portfolios by providing the operational and organizational bandwidth required to manage an exceptionally demanding UHNW global client base.This role ensures flawless execution across all areas that directly impact High Jewelry sales: VIP client experience, global travel, event support, shipping and logistics coordination, cross-functional communication, and day-to-day operational discipline.KEY RESPONSIBILITIES High Jewelry Sales & Operational SupportFull operational support from client request to deliveryPayment processing, GR confirmation, and product accuracy checksStore transfers, shipments, logistics timelines, repair oversightInvoicing, urgent payment processing, and accurate store-level ringingLiaise with High End product team to execute monthly client facing lookbook which can be tailored to each client outreach by the PCMEvent & Activation CoordinationLogistics for High Jewelry eventsOn-site event support and post-event follow-upBooking travel for VIP clientsManaging all itineraries for domestic and international VIP travelCoordinating bios, RSVPs, dietary needs, and documents for brand eventsAssist in the monthly strategy and execution of PCM CRM driven initiativesAdministrative & Organizational ManagementMaintaining digital files and client pipelinesCreating KPI, sales progress, and deadline trackersManaging inventory of gifting itemsVIP Client Experience & Luxury DiscretionDelivering Bulgari-level hospitalityUnderstanding UHNW client sensitivities and expectationsAdding personalized touches to deepen connectionPreparing PCMs for every engagementPreparing client assortments, lookbooks, personalized presentationsManaging birthdays, anniversaries, holidays, and special high level client giftingSupport in driving the client journey mapping for all PCMsAnticipatory & Proactive SupportIdentifying issues before they escalateAnticipating sensitivities and timingSupporting communication strategiesOwning operations to elevate PCMs focusInternal CoordinationFollowing up with corporate partners when timelines stallLiaising with High End, High End Watches, Alta Gamma, CRM, Events, Merchandising, BOH, Logistics, After Sales, Boutiques and Corporate PartnersHandling in-person communication at corporate to accelerate actionManaging the constantly shifting calendar of eventsIDEAL CANDIDATE PROFILE3 + years supporting executives in luxury, retail, hospitality, fashion, or High JewelryExceptional communication skillsHighly organized and calm under pressureHigh level of emotional intelligence, discretion, proactivityStrong follow-through and problem solvingProficiency in Excel, PowerPoint, Google SuiteComfortable engaging with Ultra High Net Worth clientsAvailable for evening/weekend events
