Patent Paralegal

A well-established IP boutique is seeking a Patent Annuities Paralegal to support its intellectual property function with a focus on global patent maintenance and annuity management. This role is critical in ensuring compliance with deadlines, maintaining accurate records, and coordinating with counsel and third-party vendors worldwide. The position offers direct exposure to partners and the opportunity to take ownership of the annuities function.ResponsibilitiesManage global patent annuity and maintenance fee payments for U.S. and foreign mattersTrack and monitor critical deadlines to ensure timely filings and paymentsReview annuity reminders, invoices, and confirmations for accuracyMaintain and update docketing systems and internal databasesCoordinate with outside counsel, foreign associates, and annuity vendorsPrepare instructions for payment, abandonment, and reinstatementReconcile invoices and assist with budgeting and forecastingGenerate reports on portfolio status, deadlines, and costsSupport audits and ensure data integrity across systemsQualifications3–5+ years of patent prosecution, annuities, or docketing experienceExposure to both U.S. and foreign patent matters preferredExperience with annuity vendors (e.g., CPA Global, Dennemeyer) is a plusStrong Excel skills and comfort working with data/numbersExcellent attention to detail and ability to manage deadlinesStrong organizational and communication skillsSelling Points100% remote flexibility, with preference for candidates in the Chicago area (local hires asked to come in for the first week for onboarding and training)IP boutique firm focused exclusively on intellectual property workDirect interaction with shareholders and partnersExcellent culture with very low turnoverOur specialized recruiting professionals apply their expertise and utilize our proprietary AI to find you great job matches faster.
