Vetting Services Adviser
The opportunity
We are looking for a highly organised and adaptable professional to deliver a comprehensive support service across vetting, training and onboarding through to appointment. The role plays a key part in ensuring vetting volumes are achieved while maintaining strict adherence to vetting processes and regulatory standards. You will support the delivery of ICOB Licencing Programme and Owl Academy, ensuring all candidates meet fit and proper, right to work, suitability and Openwork Learning and Development criteria while demonstrating flexibility and a commitment to quality throughout the vetting and training journey.
This is a 2 year Fixed‑Term Contract, Home Based.

Responsibilities
Responsibility for accurately maintaining appropriate logs and spreadsheets in respect of recruitment, training, RTW & OBI, in addition to adhering to enhanced GDPR legislation.
Responsibility for accurately requesting, recording, and maintaining reports/records from third parties such as DocuSign and Experian.
Administration involving maintenance of the careers & training inbox, creation of electronic records including tracking and monitoring spreadsheets, arranging for portal access, allocation and closing down of Insight learning tracks, and full responsibility for cancellation of Insight and portal access in the event of NPW.
Assessment of candidate suitability and applications for recruitment to the role of self‑employed protection adviser.
Responsible for the oversight and management of Owl candidates enrolled in the ICOB Licensing Programme.
Responsible for the creation and maintenance of the Owl Academy/ICOB rosta, liaising with T&C, Owl Managers, and The Business School.
Processing appointments for Owl candidates, allocating appropriate licenses via Insight, Swift (or similar).
The collation of contracts and the maintenance and archive storage of records according to regulatory and compliance timescales.
Maintain process procedures across all aspects of the role to ensure consistency of application and approach.
Responsible for providing MI reporting across all aspects of the role.
Supporting the Operations & Risk Manager with T&C activities, administration activities including processing termination requests and reporting.
Working within SLA’s (Service Level Agreements) standards.
Build positive relationships with all stakeholders such as Advisers, managers and colleagues.
Qualifications
Strong organisational and administration skills, including the ability to plan and prioritise workloads.
Experience working in a regulated environment.
Excellent verbal and written communication skills, including proficiency with Excel based operating systems and MS Office suite.
Excellent customer service skills / good inter‑person skills.
Confident telephone manner.
Ability to multi‑task in a pressured environment, maintain high standards of accuracy, attention to detail and work to deadlines.
Ability to work on own initiative as well as part of a team.
