Here we do more than work we thrive.Our Purpose: We pioneer the innovations that move and connect people to what matters.ResponsibilitiesAbout the roleUnder general supervision, the Corporate Executive Assistant performs administrative work of a complex and confidential nature for an executive level officer. This team member has contact with other departments, as well as senior management and high-level officers both internal and external to GM Financial.In this role you will:Prepare and distribute internal and external correspondence ensuring the integrity of confidential information - includes but is not limited to dictation, meeting minutes, memos, reports, and other professional communicationScreen and route telephone calls while accurately recording and routing messages on a timely basisReview and distribute incoming mail as well as collect and route all outgoing mailSchedule and coordinate appointments, meetings, conferences, and conference callsMaintain and update electronic calendars and task lists for management assuring that complete information is available for all mattersEstablish and maintain hard copy and/or electronic filing systems for departmental data, documents, and other materialsPrepare and distribute professional quality documents, reports, or presentationsArrange all necessary travel arrangements that include airfare, lodging, and rental carCopy all invoices, and distribute to appropriate individual for approval, while handling any invoice problemsPromote a positive, cooperative and professional attitude when interacting with other departments, customers, dealerships, and vendorsResearch information as neededPerform specialized administrative duties to support specific work unit as neededParticipate on special and confidential projects as neededFinalize prepared documents (formatting, grammar/spelling, page numbers) prior to disseminationArrange travel itineraries based on corporate policy and personal preferencesQualificationsWhat makes you an ideal candidate?Knowledge and SkillsAdministrative and clerical procedures and systemsIn-depth knowledge of GM Financial operations, policies, staff, and proceduresThorough understanding of corporate executive and general office proceduresCustomer service strategies and techniques (e.g., handling customer complaints, checking for customer satisfaction, ability to anticipate needs and offer assistance)Working knowledge of Microsoft Office products, Word, Excel, Outlook, PowerPoint, Access, and ProjectMust have proficiency in a full range of office responsibilities and proceduresAbility to make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day dutiesAbility to multi-task and meet tight deadlinesAbility to work independently with limited supervisionAdvanced and accurate typing and word processing skillsAdvanced grammar, spelling, and proofreading skillsExcellent organizational, oral, and written communication skillsHandling confidential matters and informationOperating basic office equipment and software applicationsEducation & Work ExperienceHigh School Diploma or equivalent required; Bachelor's Degree and/or completion of executive assistant courses preferred5+ years of experience performing complex executive assistant duties, with experience performing administrative duties for executive level management preferredExperience interacting with and supporting senior and executive levels of management requiredDemonstrated ability to work independently and accurately with attaining a high level of accountability requiredProven experience managing and prioritizing access to senior and executive levels of management requiredWhat We Offer: Generous benefits package available on day one to include: 401K matching, bonding leave for new parents (12 weeks, 100% paid), tuition assistance, training, GM employee auto discount, community service pay and nine company holidays.Our Culture: Our team members define and shape our culture an environment that welcomes innovative ideas, fosters integrity, and creates a sense of community and belonging.
