Role DescriptionThe Program Assistant plays a vital support role in the day-to-day operations of TAP. This position ensures smooth execution of recruitment events, program sessions, communications, and administrative tasks. The ideal candidate is highly detail-oriented, organized, has impeccable attention to detail and is eager to support a mission-driven team working to address the teacher shortage. With TAP, graduates from non-education majors can follow a clear path to become certified teachers. Discover more at teacheraccelerator.orgReporting/AccountabilityLocation: Miami, FL (Hybrid)Reports To: Program ManagerStatus: Part-Time or Full-Time, Exempt $20-21/hrRequirementsRequired: 1–2 years of administrative or program coordination experience (can include internships or part-time roles)Strong attention to detail and organizational skillsComfort working with spreadsheets, digital tools, and task-tracking systemsStrong communication skills and customer service mindsetCommitment to TAP's mission of expanding access to high-quality teachersAbility to manage multiple tasks and deadlines in a fast-paced environmentAvailable to work in person at TAP’s office at least once per week.Ability to work some evenings and weekends as needed.Strongly preferred:Bilingual (English/Spanish or English/Creole)Experience working in schools, nonprofits, or youth programsInterest in growing within the education or nonprofit fieldResponsibilities Event & Program LogisticsAssist with preparation and setup for all TAP events, including interest sessions, orientations, PD workshops, and TAP SummerOrder and organize supplies and materials needed for programmingHelp manage RSVPs, name tags, sign-in sheets, and event follow-up communicationSupport on-site logistics including space setup, food pickup, and technology needsCandidate & Staff SupportRespond to basic candidate questions or direct them to the appropriate team memberSupport candidate communications, such as sending reminders and confirmationsAssist in maintaining accurate candidate records and data entry in TAP tracking systemsHelp onboard part-time staff by preparing welcome materials and tracking completion of paperworkRecruitment & CommunicationsRespond to basic applicant questions or direct them to the appropriate team memberSupport the execution of recruitment events (e.g., tabling, class visits, interest sessions)Follow up with prospective candidates and maintain accurate communication recordsHelp manage TAP’s presence on social media and in campus spacesConduct applicant Interviews Data Tracking Enter, update, and organize participant information, attendance, and progress records.Support the team in pulling basic data reports and keeping records audit-ready.Monitor data for errors, missing information, or inconsistencies and flag issues for follow-up.Ensure files, spreadsheets, and tracking tools are organized and aligned with program expectations.Team & Administrative SupportAttend weekly team meetings and take meeting notesSupport planning and execution of strategic initiatives as assignedCollaborate with the Achieve Miami team on financial processes and support documentation needsHave Questions?Feel free to reach out to Angie Morello, Senior Program Manager at TAPangelamorello@teacheraccelerator.org
