🎤 Events Coordinator (Remote)Location: Remote/Home OfficeReports to: CEOSchedule: Monday–Friday | 8:00 AM – 5:00 PM ESTTravel: Opportunities to travel throughout the USA and represent caa. Candidates must have a valid, up-to-date visa and active travel authorization. ✈️Compensation: Competitive annual salary ranging from $55,000 - $65,000 USD based on experience, skills, and qualifications.🚨 Previous full-time Events Ownership experience is required.🌟 About the Rolecaa (Capital Analytics Associates) is looking for an Events Coordinator who is equal parts logistician, relationship-builder, and road warrior. We host 18 leadership summits a year across the Northeast, Southeast, and Midwest — full-day, high-energy, executive-level events — and we need someone who runs them like a pro without needing their hand held.This isn't a conference room job. If you love the energy of a live event, thrive when things move fast, and genuinely enjoy making things look effortless (even when they're not) — keep reading.We are caa! https://youtu.be/ZlKbddSEXKoAbout us: https://www.youtube.com/watch?v=_8GtDo-_M2w🚀 What You’ll DoEvent Planning & LogisticsPlan and execute all event logistics: venue, catering, AV, seating, materials, and signageBuild and own the run-of-show, floor plans, and contingency plans for every eventCoordinate shipping, receiving, setup, and breakdown of all caa materialsEnsure every event is buttoned up, on budget, and on brandSponsor & Vendor ManagementBuild and maintain strong relationships with venues, AV teams, caterers, hotels, and local staffEnsure all sponsor deliverables are fulfilled — RSVPs, engagement tables, banners, signage. On average, each event has 10-20 sponsorsPrepare all guest name tags (200-400 each event), table prints, registration materials, and signageTrack and manage event budgets with a cost-conscious eyeMarketing & Attendance CoordinationPartner with Sales and Digital Marketing to drive attendance through phone calls, Eventbrite (or other ticket sales platforms), newsletters and your own creativityOwn RSVP tracking and invite list managementSupport promotional efforts across LinkedIn, Eventbrite, and email campaignsInternal CoordinationWork with Editorial to coordinate panel prep and speaker sessionsAttend speaker prep meetings and align on logisticsOwn internal timelines and keep lead-up meetings running on scheduleOn-Site ExecutionRun the registration desk and oversee material distributionTroubleshoot in real time — because something always comes upSupport speakers, maintain sponsor visibility, and keep the room running smoothlyBe the calm in the room so everyone else can be tooShip all caa materials to and from the venue ensuring timely delivery✅ What You Bring4-7 years of event coordinating, event management, or related experience (5 years preferred)Bachelor's degree or equivalent required; Marketing or Communications preferredProficiency in Microsoft Office, Google Drive, Eventbrite, and CRM tools (Zoho or similar, 3 years minimum)Strong written and verbal communication — you can write a crisp email and work a registration table with equal easeExperience managing vendor relationships and event budgetsAbility to stay cool, organized, and resourceful under pressureYou’re:✔ Highly organized✔ Resourceful and proactive✔ Detail-driven✔ Comfortable owning projects end-to-end✔ Energized by connection and collaboration✔ Eager to travel✔ Creative and an Innovative ThinkerAble to travel frequently throughout the yearAble to manage and track a budget for each event, multiple events simultaneouslyIndependent and don't need supervison🎁 What We OfferExtensive training & ongoing professional developmentMedical, Dental, Vision BenefitsMentorship programCompetitive holiday and Paid Time Off (PTO)Summer early Fridays ☀️Paid Parental LeaveVolunteerism LeaveTeam Member Referral BonusMeaningful networking opportunities nationwide💡 Why caa?caa is a founder-led media company that has been connecting business leaders for over 10 years.
