Administrative Assistant

Administrative Assistant The Hawesville Paper Mill is seeking an Administrative Assistant to provide comprehensive administrative support to the Operating Area and Business Unit leadership team. This position is responsible for managing day-to-day administrative operations, supporting production and reporting activities, and ensuring effective coordination of office functions within a fast-paced manufacturing environment. The Administrative Assistant plays a key role in maintaining organization, communication flow, and operational efficiency while delivering a high level of internal and external customer service. Key Responsibilities The Business Unit Administrative Assistant performs a wide range of administrative support duties, including but not limited to the following: Provide administrative support to the Business Unit leadership team and team members Support daily production reporting and assist with month-end administrative activities. Prepare, format, and distribute documents, reports, presentations, hourly schedules and correspondence. Maintain calendars, schedule meetings, and coordinate conference rooms. Answer and route phone calls, greet visitors, and manage communications professionally. Maintain filing systems and ensure accurate recordkeeping. Manage day-to-day office operations to ensure efficient workflow. Maintain office, safety, and administrative supplies. Coordinate maintenance and service of office equipment. Perform monthly inventory counts for assigned materials and supplies. Support department purchases, invoices, and expense reporting. Provide general accounting and clerical support assigned. Assist with coordination of business unit activities, meetings, and events. Cross-train and provide administrative coverage as needed. Support internal communications and mass mailings. Demonstrate flexibility to support changing business needs and priorities. Demonstrate strong attention to detail, organization, and follow-through. Apply creativity and initiative to improve administrative processes. Willingly initiate and support community outreach and engagement activities. Maintain professionalism and discretion when handling sensitive information. Minimum Qualifications High school diploma or GED required. Minimum three (3) years of administrative support experience. Strong organizational and time-management skills. Ability to work independently with minimal supervision. Excellent verbal and written communication skills. Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Ability to manage multiple priorities in a fast-paced environment. Dependable, adaptable, and customer-service oriented. Preferred Qualifications Associate or bachelor's degree in a related field. Advanced proficiency in Microsoft Word, Excel, and PowerPoint. Experience supporting leadership in a manufacturing or industrial environment. Familiarity with production reporting and month-end administrative processes. Proficiency with virtual meeting and conferencing tools. Demonstrated analytical thinking and problem-solving skills.
