Administrative Specialist Alter Trading Corporation, a 128-year-old, privately held company with 73 scrap metal processing facilities is seeking an Administrative Specialist at our Davenport, Iowa location. Alter operates scrap metal processing facilities in 11 states and trades recycled materials nationally and internationally. Our corporate headquarters is located in St. Louis, Missouri. Job Description/Responsibilities The Administrative Specialist provides operational and administrative support to corporate and regional Safety and DOT teams to ensure compliance with regulations and company policies and procedures. This position will directly report to the Senior Director of Workers Compensation and DOT Compliance. Duties include: Maintains shared resources on SharePoint and other platforms. Coordinates and reviews CDL Driver Qualification (DQ) files from new hire to annual evaluations Administration assistance of Link-X program (fleet management software) to include driver vehicle inspection reports and maintenance files Monitor and schedule DOT medical cards with approved clinics Track temporary employee hours weekly Coordinates and manages annual employee hearing testing for all operations Administers and tracks the corporate safety boot and RX safety eyewear program Assists with the administration of our safety management system (Novara/KPA Flex) Coordinate, create and manage forms, training and reports on Novara/KPA Flex Monitor LO/TO (Lockout/Tagout) documentation (Annual update) on Brady 360 (safety compliance software) Monitor visitors in office environment and communicate any packages/mail delivered to appropriate recipients Performs miscellaneous job-related duties as assigned. Qualifications and Requirements High School Diploma or equivalent required; Associate degree preferred. 1-3 years of administrative experience related (or similar) to the duties and responsibilities listed Strong interpersonal and communication (both written and verbal) skills and the ability to work effectively with a wide range of individuals in a diverse community Must be organized and detail-oriented Ability to research and use independent judgment and manage confidential information Demonstrated ability to work independently in an ever evolving and dynamic environment Ability to multi-task and manage competing priorities Must be proficient (intermediate or above) in Microsoft Office (Word, Excel, PowerPoint, Sharepoint and Teams, etc.) Experienced with data management systems and processes Experience in Safety or DOT a plus but not required Light physical activity in an office environment
