Job SummaryThe GME Coordinator reports to the GME manager. The GME coordinator coordinates GME accreditation processes related to GME educational databases. This includes development of reports, sophisticated trending documents and all elements required for documenting resident competencies and professional education portfolios. In addition, individual programs, residents and overall aggregate program information will be trended and reviewed.Responsibilities• Designs and maintains databases needed for residency program accreditation, tracking and evaluative documentation. Works closely with residency programs in implementing and maintaining New Innovations software.• Maintains excellent relationships with CAMC management, staff, and medical staff in program development and implementation. Frequently interacts with all employee groups, the community and business organizations in planning and development of programs.• Represents the department/CHERI on a variety of internal and external committees, task forces, and advisory groups in the maintenance and review of residency programs.• Manage the pre-employment onboarding process for residents and fellows. This extensive process includes ensuring that all required pre-employment prerequisites are satisfied before the contract start date including, but not limited to, internal requirements for GME, Employee Health, Security, Human Resources, Medical Affairs, LMS, and I/T; as well as external requirements for Medicaid, Medicare, WV Board of Medicine, WV Board of Osteopathic Medicine, ECFMG, and US Immigration.• Manage the J-1 visa process for all training programs, serving as the primary Training Program Liaison for Intealth (ECFMG). This includes the management of each trainee's Intealth profile, creation of offer letters, and DS-2019 verifications.• Manage the processing of all applications for WV Medicaid, U.S. Medicare, and WV state permit/licensure for all new CAMC residents and fellows as well as renewals, ensuring compliance to state and federal regulations on behalf of CAMC and ensuring the trainee can provide timely patient care activities without delay.• Provide oversight and monitoring of key trainee, program, and institutional key metrics housed within GME databases to ensure CAMC compliance with required accreditation requirements. This process includes the development of extensive program and institutional audit reports used to monitor defined performance indicators associated with accreditation. Oversight includes coaching GME staff when performance indicators uncover a concern that could be addressed to improve compliance.• Manage the development of program letters of agreements and rotation agreements between CAMC and other institutions. These agreements detail the parameters of the educational experiences for GME trainees. Agreements include detail regarding a trainee's required supervision, evaluation, goals/objectives, benefits/liability as well as other essential requirements.• Manage the visiting resident onboarding process which includes processing rotation applications, development of rotation agreements, ensuring rotators complete all prerequisites for their scheduled rotation, and collaborating with various departments to ensure rotators have appropriate access to institutional systems.Provide support for special projects regarding professional development and wellbeing of trainees, faculty, and staff.• Routinely participate in graduate medical education leadership meetings• Create and ensure diplomas/certificates are provided to all graduating trainees.• Creates and maintains records for resident agreements, amendments, and extensions.• Collaborate with the GME Administrative Director, GME Manager and other departments in the development and implementation of new residents and new fellow orientation.• Routinely provides the lead on innovative and creative graduate medical education solutions that enhance performance and streamline processes for the department.• Provides routine guidance and direction to all GME coordinators and other staff on the implementation and interpretation of GME internal and external policies and proceduresKnowledge, Skills & AbilitiesPatient Group Knowledge (Only applies to positions with direct patient contact)The employee must possess/obtain (by the end of the orientation period) and demonstrate the knowledge and skills necessary to provide developmentally appropriate assessment, treatment or care as defined by the department's identified patient ages.
