Previous experience supporting treasury organizations and senior executives or VPs is highly desirable for this role. Location: New Brunswick, NJ Schedule: Hybrid: 3-4 days in office, 1-2 days remotePay: Starts at $41.00 per hour Your Key Responsibilities: Deliver comprehensive administrative and project coordination support to Vice President level member of Leadership and two Assistants Manage domestic and international travel logistics Oversee all aspects of expense reporting Maintain and organize files and manage assigned projects as needed Communicate effectively with all levels - articulating ideas clearly and presenting information with confidence Handle confidential documents and materials with the utmost professionalism and discretion Support executive management with the preparation of meetings, including company-wide, team, and leadership meetings Stay up-to-date with relevant corporate policies, guidelines, and procedures, while providing back-up coverage for other administrative staff as needed Assist with purchase orders and requests when necessary Foster professional relationships both within team and across other management teams, becoming a trusted point of contact for sensitive or confidential information Build strong relationships with other Executive Assistants to ensure seamless operations and an engaged team environment Achieve results even in the absence of daily direction, demonstrating initiative, flexibility, and ownership Manage dynamic, changing calendars and shifting, sometimes conflicting, priorities with grace and accuracy Exercise independent judgment, advanced problem-solving, and confidentiality at all times Qualifications: Minimum high school diploma required; Associate’s degree preferred At least 5 years of high-level assistant or office management experience in a fast-paced setting required Superior organizational skills and attention to detail Outstanding written and verbal communication skills; ability to multi-task and contribute across functions Demonstrated success balancing multiple, fast-moving priorities, while remaining calm, poised, and professional Ability to work independently; proven self-starter and reliable decision-maker Comfortable interfacing with staff, senior leaders, and executive leadership of both internal and external partners Absolute discretion, professionalism, and judgment required for the handling of sensitive information and projects Highly proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) Preferred experience with Concur, Salesforce, and/or running budgets Strong analytical, listening, facilitation, and organizational skills Demonstrated expertise in collaboration, influencing, and relationship development Ability to excel in a complex, high-profile, and rapidly evolving environment Preferred Skills: Administrative Support Business Writing Communication Customer Centricity Data Capturing Diary Management Document Management Execution Focus Office Administration Organizational Knowledge Presentation Development Problem Solving Professional Ethics Travel Planning Typing Ready to elevate your executive support career?
