Procurement Specialist
Position SummaryThe Procurement Specialist is responsible for sourcing, purchasing, and managing materials, equipment, supplies, and vendor relationships to support facility maintenance and operational projects. This role ensures cost-effective purchasing, timely delivery, contract compliance, and inventory management while maintaining high-quality standards and supporting company operational goals.Key ResponsibilitiesSource and procure maintenance supplies, equipment, tools, and subcontractor servicesDevelop and maintain relationships with vendors and suppliersRequest and evaluate bids, quotes, and proposalsNegotiate pricing, contracts, and delivery schedulesCreate and process purchase orders and track order statusMonitor inventory levels and coordinate replenishment needsEnsure compliance with company procurement policies and budget guidelinesMaintain procurement records, vendor files, and purchasing documentationCoordinate with operations, project managers, and accounting departmentsResolve vendor issues related to pricing, delivery, shortages, or quality concernsAnalyze purchasing trends and identify cost-saving opportunitiesAssist with contract administration and vendor performance evaluationsSupport emergency and time-sensitive purchasing requests for facility operationsBachelor's degree in Business Administration, Supply Chain Management, Procurement, or related field preferred2-5+ years of procurement, purchasing, or supply chain experienceExperience in facility maintenance, construction, HVAC, electrical, plumbing, or related industries preferredStrong negotiation and vendor management skillsKnowledge of purchasing procedures and inventory managementProficiency in Microsoft Office Suite, especially ExcelExperience using procurement or ERP software systems preferredStrong organizational and multitasking abilitiesExcellent written and verbal communication skillsAbility to work in a fast-paced environment and meet deadlinesDetail-oriented with strong analytical and problem-solving skillsKnowledge of budgeting and cost control practicesValid driver's license may be requiredPreferred QualificationsExperience working with maintenance vendors and subcontractorsFamiliarity with OSHA and facility compliance standardsBilingual English/Spanish is a plusExperience with invoice reconciliation and accounts payable coordination
