Please connect with me on LinkedIn as well @Katrina GeorgeJob Title: Litigation Legal SecretaryLocation: San Diego, 92121Salary/Payrate: $80K-$115KWork Environment: Hybrid, (2 days in office/3 remote) after 45 day ramp up.Term: Direct HireBachelor's degree required: NoReferral Fee: AMS will pay $500 should the person you refer gets hiredJOB DESCRIPTIONOur client, a well-regarded international law firm is looking for a Litigation Legal Secretary to join their San Diego (La Jolla/UTC) team.Key ResponsibilitiesCompose, draft, and format letters, correspondence, memoranda, briefs, and various legal documentsSubmit, file, and lodge legal paperwork promptly and accurately with state and federal courts (experience with electronic filing is advantageous)Manage, coordinate, and maintain attorneys' schedules using Outlook and Milana (including booking meetings, tracking deadlines, and organizing appointments)Create, prepare, and process engagement agreements, client intake forms, and new matter requestsConsistently review, proofread, and edit documents to ensure precision, correctness, and completeness before distribution or filingOrganize, update, and maintain client records in both physical and digital formats while adhering to firm policies on file management and record retentionTrack, monitor, and follow up on deadlines, court dates, and scheduled commitments using calendaring and docketing systemsCoordinate, schedule, and arrange meetings, conference calls, and appointments; handle related logistics such as ordering food, beverages, or equipment as neededPlan, coordinate, and arrange travel for attorneys; prepare and submit expense reports and reimbursement requests promptlyExamine, verify, and review vendor invoices for accuracy; prepare payment requests and ensure timely submission to clients or accounting departmentsDemonstrate teamwork by assisting colleagues and supporting others when necessaryManage, balance, and prioritize multiple tasks and deadlines while maintaining professionalism; proactively request help when requiredProvide support to guests, paralegals, and attorneys in the absence of assigned secretaries; take on additional or overflow assignments as neededRequirementsHigh school diploma required; associate's or bachelor's degree preferred but not mandatoryAt least five years of civil litigation experience in a legal secretary or legal administrative support roleAdvanced computer skills and proficiency with legal and business software, including Lexis Nexis, Pacer, ECF, iManage or similar document management systems, Milana, Concur, Chrome River, Aderant, InTapp, Litera, and Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)Strong familiarity with legal vocabulary, court procedures, litigation processes, and legal documentation, including the ability to create tables of contents and tables of authoritiesAbility to understand that job duties may evolve; additional responsibilities may be assigned and qualifications may change over time
