This role partners closely with the estimating team, project coordinators, and management to ensure accurate data flow, efficient processes, and system alignment across departments.This position plays a key role in maintaining and improving system functionality related to estimating, takeoffs, bid tracking, and job costing, while also supporting the estimating department with data accuracy and process improvements.Essential Duties and Responsibilities:Support the implementation, maintenance, and continuous improvement of RFMS and related backend systems.Assist with system integration efforts to streamline workflows between estimating, sales, and operations.Configure and maintain RFMS takeoff, measure, and estimating modules.Ensure data integrity across systems including cost databases, bid logs, and job files.Partner with estimating team to review takeoffs and ensure accuracy within system tools.Track and maintain bid logs, including follow-up tracking and reporting.Develop and maintain standardized processes for estimating data entry, reporting, and system usage.Organize and manage centralized cost estimating databases to ensure historical data is leveraged effectively.Identify system inefficiencies and recommend process improvements to enhance accuracy and productivity.Support proposal and bid standardization including templates, addendums, and documentation within systems.Analyze cost trends and system data to assist management with decision-making and cost control initiatives.Assist in reviewing project specifications and ensuring proper system setup for bids and awarded jobs.Collaborate with sales, operations, estimating, and management teams to ensure alignment across systems and processes.Provide training and support to team members on RFMS and related tools as needed.Assist with ITB's, RFI's, and system-related documentation from builders and general contractors.Support product and material setup within systems, including adding and maintaining flooring program items.Coordinate with field and office teams to ensure accurate data input for takeoffs and measurements.Participate in process improvement initiatives related to estimating and system workflows.Other duties as assigned.Ideal Candidate:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.Strong understanding of RFMS or similar flooring/estimating software systems.Experience with system implementation, integration, or process optimization preferred.Strong technical and analytical skills with attention to detail.Commercial flooring product knowledge and installation practices preferred.Proficient in Microsoft Office (Excel, Outlook, Word) and estimating/blueprint software.Ability to analyze data, identify trends, and recommend improvements.Strong organizational and documentation skills.Ability to communicate effectively across departments.Comfortable working in both technical/system-focused tasks and operational support roles.Ability to manage multiple priorities and adapt to changing business needs.Demonstrates problem-solving skills and sound decision-making.Maintains a high level of accuracy, quality, and accountability.Works well independently and in team environments.Education/Experience:Bachelor's degree (B.A.) or Associate degree with 2+ years of related experience; or equivalent combination of education and experience. Experience with RFMS or similar ERP/estimating systems strongly preferred.Work Environment & Physical Demands:The majority of work is performed in an office environment with computer-based tasks. The noise level is typically moderate.The employee must regularly lift and/or move up to 10 pounds, frequently up to 15 pounds, and occasionally up to 35 pounds. Regular activities include sitting, standing, using hands, reaching, talking, and hearing.
