Operations Support Specialist We are seeking an Operations Support Specialist to provide high-level programmatic and administrative support to a dynamic cybersecurity team within a Navy command. The selected candidate will be responsible for preparing presentation materials, managing correspondence and procedural documentation, and maintaining calendars and access forms, and supporting task-level operations across reporting, metrics, and security badge processing. Ideal candidates will demonstrate strong organizational and communication skills, familiarity with Navy correspondence standards, and the ability to work independently in a fast-paced, mission-driven environment. This is a hybrid technical and administrative support role requiring attention to detail, adaptability, and proficiency with Microsoft Office, Adobe Acrobat, and DoD/Navy-specific tools and systems.This position is located in Philadelphia, PA.Your future duties and responsibilities:Prepare and manage presentation materials using Microsoft Word, Excel, PowerPoint, and Adobe AcrobatProvide on-site administrative support for document processing, including letters, reports, memos, travel orders, travel vouchers, and related materialsMaintain and edit all cyber, IT, and cyber workforce correspondence, standard operating procedures (SOPs), and instructions to ensure proper grammar, formatting, and compliance with the Navy Correspondence Manual and applicable style guidesMaintain the master project calendar, coordinate meetings and presentation logistics, and support System Access Authorization Request (SAAR) form processingAssist in developing process and procedure documents in government-directed formatsEnter and manage data within various computerized databases and tracking systems; create spreadsheets and graphs based on recorded data; maintain hardcopy documentation in support of auditsSupport NSWC Philadelphia Division security badge processing, including information entry and documentation managementProcess and track badge and swipe card requests and support access services in accordance with Division policies and proceduresDevelop and present cybersecurity (CS) metrics to upper-level managementProvide NAVITAS IT support, including review of NAVITAS purchase requests for compliance with DoN policy and entering requests into the official system of recordRequired qualifications to be successful in this role:Associate's degree in business, computer science, information technology from an accredited college or university.Five (5) years of experience providing programmatic support including reviewing policies and directives and presenting the assessments, metrics development and tracking, word processing, filing, track man-hours/time, preparing correspondence reports/forms and presentation in accordance with the appropriate style guide, arranging travel, schedule meetings and teleconferencing services utilizing Microsoft products (i.e. Word, Excel, and PowerPoint) as well as Adobe Acrobat.Experience supporting Navy, DoD, or federal program offices, particularly in IT, cybersecurity, or workforce management environments.Familiarity with Navy administrative processes, formatting standards, and style guides, including Navy Correspondence Manual.Experience preparing contract deliverables, presentation, and briefing material for senior leadership.Proficiency in Microsoft SharePoint, Teams, Outlook scheduling tools, and cloud-based document collaboration platforms.Prior experience supporting Systems Access Authorization Requests (SAARs), calendar management, meeting logistics, and project documentation.Demonstrated ability to organize and track data across multiple inputs using spreadsheets, databases, and visualization tools (e.g., pivot tables, charts, graphs).Strong attention to detail, with proven ability to proofread and format documents for accuracy and professionalism.Ability to manage competing deadlines, prioritize tasks, and work independently in a fast-paced mission-driven environment.Active DoD security clearance or ability to obtain one (Secret preferred).Compensation range for this role in the U.S. is $62,800.00 - $73,000.00.
