Position Title: Executive Administrative AssistantLocation: Phoenix, AZ 85053.Duration: Direct Hire - PermanentSchedule: Standard,Pay Range: $48 - $52 hourly Note: Must be flexible for early mornings/late afternoons and participate in an "on-call" weekend rotation for urgent travel or scheduling changes.Job SummaryThe Executive Administrative Assistant provides high-level administrative support to the Office of the President and CEO or Core Leadership Team (CLT) members. This role requires strong judgment, initiative, professionalism, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality.The position supports executive operations through calendar management, travel coordination, communication support, project coordination, and organizational assistance while collaborating closely with the Assistant to the President and CEO and other internal stakeholders.Education & ExperienceRequired QualificationsHigh school diploma or G.E.D.10+ years of executive administrative support experienceMinimum 5 years supporting CEO, President, C-suite, or equivalent leadershipStrong ability to manage changing priorities and multiple projects simultaneouslyAdvanced proficiency with:Microsoft 365 (Outlook, Word, Teams, PowerPoint, Excel), Zoom, VPN systems, DocuSignExperience managing complex calendars, meetings, and executive travel arrangementsStrong organizational, communication, proofreading, and writing skillsExperience coordinating events and executive-level meetingsPreferred QualificationsBachelor's degree in Business or related fieldHealthcare industry experienceKnowledge of government healthcare programs such as TRICARE, VA, or Military Health SystemMilitary background preferredExperience supporting executives in high-profile environmentsKey ResponsibilitiesManage daily administrative operations for executive leadershipCoordinate schedules, meetings, appointments, and executive calendarsArrange travel, hotels, transportation, and detailed itinerariesPrepare and manage expense reportsHandle incoming calls, correspondence, and visitor interactionsOrganize meeting logistics including materials, meal coordination, and room setupDraft and prepare business and personal correspondenceSupport executive communications and special projectsConduct research and prepare reports or summaries as neededMaintain office organization, supplies, and equipment functionalityAssist with onboarding executive staff and consultantsServe as a liaison between executives, internal teams, and external stakeholdersMaintain confidentiality and professionalism in all interactionsPerform additional duties as assignedCore CompetenciesTechnical Skills Strong technical proficiency with Microsoft Office Suite, Zoom, VPN, and DocuSignAbility to operate office and video conferencing equipmentStrong research, writing, and organizational skillsTeamwork & Collaboration Works effectively in team environmentsBuilds positive working relationships across departmentsOrganizational & Time Management Ability to prioritize tasks and manage multiple deadlinesDetail-oriented with strong multitasking abilitiesIndependent Thinking Self-motivated with strong problem-solving skillsAble to work independently with minimal supervisionCommunication Skills Excellent written and verbal communicationProfessional interpersonal and customer service skillsFlexibility & Adaptability Comfortable working in a fast-paced, high-pressure environmentAdapts quickly to changing priorities and business needsWorking ConditionsStandard office environmentOccasional travel for Board meetings and corporate eventsExtended periods of computer and phone usageFlexibility to work non-standard hours when required
