Duties of the Administrative Assistant includeproviding support to our Partners, Financial advisors and employees, assisting indaily office needs and managing our companys general administrative activities.Administrative Assistant responsibilities include making travel and meetingarrangements, preparing reports and maintaining appropriate filing systems. Theideal candidate should have excellent oral and written communication skills and beable to organize their work using tools, like MS Excel and office equipment. If youhave previous experience as a secretary or administrative assistant and familiaritywithin our industry, wed like to meet you. Ultimately, a successful Admin Assistantshould ensure the efficient and smooth day-to-day operation of our office.ResponsibilitiesAnswer and direct phone callsOrganize and schedule appointmentsComplete new account paperwork, process transfer requests, contribution and distribution requests and general client account maintenance.Plan meetings and take detailed minutesWrite and distribute email, correspondence memos, letters, faxes and formsAssist in the preparation of regularly scheduled reportsDevelop and maintain a filing systemUpdate and maintain office policies and proceduresOrder office supplies and research new deals and suppliersMaintain contact listsBook travel arrangementsSubmit and reconcile expense reportsProvide general support to visitorsAct as the point of contact for internal and external clientsPerform other duties as requiredSkillsProven experience as an administrative assistant or office admin assistantKnowledge of office management systems and proceduresAbility to work independently and as part of team.Working knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Excellent time management skills and the ability to prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational skills with the ability to multi-taskUndergraduate degree; additional qualification as an administrative assistant or Secretary will be a plusJob Types: Contract, Full-timeBenefits:401(k)Health insurancePaid time offSchedule:Monday to FridayEducation:Bachelor's (Required)Experience:Microsoft Office: 5 years (Required)Financial services: 3 years (Required)Language:English (Required)Willingness to travel:25% (Preferred)Work Location: In person
