We're looking for an Operations Lead to own everything that keeps the company running — and to build the systems and team that will let us scale efficiently.Pam.ai is not able to provide employment visa sponsorship at this time. Candidates must be authorized to work in the United States without current or future sponsorship.RoleAs Operations Lead/Chief of Staff, you'll serve as the operational right hand to the CEO, taking full ownership of the non-product, non-GTM functions of the business. That means accounting, finance, HR, legal, customer support, and onboarding. You won't just manage what exists — you'll build the infrastructure, processes, and team needed to run a world-class operation. This is a high-trust, high-autonomy role with a direct line to the CEO and significant room to grow.Key ResponsibilitiesOwn all non-product, non-GTM operations including accounting, finance, HR, legal, customer support, and onboarding.Act as a force multiplier for the CEO by taking the entire administrative and operational surface area off their plate.Build and lead the ops org — currently one Ops Manager and 10+ team members — setting direction, priorities, and standards.Design and implement scalable systems, processes, and workflows from scratch across all operational functions.Create and maintain documentation including SOPs, runbooks, FAQs, and training materials that enable consistency and team independence.Manage and coordinate relationships with third-party firms (legal counsel, accounting, HR vendors, etc.) alongside internal FTEs and contractors.Identify gaps and inefficiencies across the business and proactively build the structures needed to address them.Ensure compliance and operational integrity across finance, HR, and legal functions.Serve as a cross-functional partner to product and GTM teams, keeping operations aligned with company priorities.Report directly to the CEO with visibility across the full organization.Qualifications: 10+ years of experience in operations, business operations, or a related leadership role.Demonstrated ability to build operational functions and teams from the ground up in a startup or high-growth environment.Broad functional knowledge spanning finance, HR, legal, and customer operations.Exceptional organizational skills and extreme attention to detail — nothing falls through the cracks.Proven track record of building and documenting systems, SOPs, and processes that scale.Experience managing cross-functional relationships with external vendors, internal employees, and contractors.Comfortable working in fast-paced, ambiguous environments where structure often doesn't exist yet.Strong communication skills — written and verbal — with the ability to align people across functions.What We're Looking For: Someone who is smart, proactive, and thrives in a low-structure environment — you don't wait to be told what needs to be fixed.A systems thinker who can zoom out to see the big picture and zoom in to execute the details.A natural leader who earns trust quickly, both with the team they manage and the CEO they support.A doer who writes the SOP themselves, fixes the process themselves, and hires well when it's time to delegate.Someone who takes pride in making things run so well that the people around them barely notice operations happening at all.Why Join Pam: High ownership from day one — you'll have real authority to build and lead, not just advise.Direct access and close partnership with the CEO at a pivotal stage of the company's growth.Opportunity to leave a lasting imprint on how a high-growth AI startup operates at scale.Work with a fast-paced, high-caliber team that takes the work seriously and moves quickly.
