Position Title: Scheduling Coordinator Location: Spring Administrative Offices Reports To: Senior Director of Human Resources EEO Classification: Administrative Support Workers Job Type: Hourly, Non-Exempt Direct Reports: None Summary: The Scheduling Coordinator is responsible for managing weekly schedules for approximately 250 employees across multiple locations and programs. This role will closely collaborate with operations leadership to plan employee placements, address call-ins, and adjust day-to-day schedules based on student attendance. The scheduling coordinator will also focus on maintaining employee availability data, ensuring time allocation for staff's non-classroom obligations, and creatively manage shift coverage. Essential Job Functions: Create and manage weekly schedules for approximately 250 employees across our two Early Learning Academy locations and K-5 after school program. Schedules are generated in our UKG Ready software. Help operations leadership prepare daily assignment sheets and plan day-to-day staff placements, adjusting for call-ins and changes in student attendance in conjunction with our program managers and directors. Maintain employee availability data for all part time and on demand Ensure that staff within our programs have the appropriate time scheduled out of their classroom so they can meet other obligations. For example, Lead Teachers need time to develop curriculum each week and all staff need to meet training requirements throughout the Determine which employees are available to help in other programs or locations when necessary and work creatively to get shifts Communicate open shifts to employees using the schedule software, phone calls, text messages, and emails. Responsible for taking all call-ins by phone and notifying the respective Generate attendance disciplinary actions based on their absences and our attendance points Educate employees on our call-in and attendance policies and sit in on attendance-related disciplinary action conversations as Build new employee training schedules and ensure each new employee receives a training experience that will prepare them for their new Work closely with the Talent Acquisition Coordinator to determine staffing gaps and which positions are needed to fill the schedule and enroll students to our enrollment Monitor employees’ hours and ensure hours are coded on their timesheet to the correct department for accurate financial Run reports on time and attendance, keeping a close watch on absence rates for each department and overtime Responsible for all other tasks as assigned by the Senior Director of Human Education and Experience Requirements: At least one year of previous scheduling experience is required.
