This position will provide administrative and front-desk support while coordinating vendors, office services, supplies, mail, catering, maintenance requests, and meeting support.ResponsibilitiesProvide administrative support to the Senior Facilities Manager.Manage front reception and assist guests, visitors, and employees.Coordinate janitorial, food service, coffee service, badging, and fitness center waiver activities.Monitor and maintain pantry and office supplies.Coordinate incoming and outgoing mail.Distribute office announcements through electronic distribution lists.Dispatch maintenance requests to the landlord and follow up as needed.Maintain organized files for reports, vendor invoices, proposals, and related documentation.Maintain current vendor, emergency contact, and property information.Coordinate catering and lunch programs.Support meetings and conference room reservations.Provide monthly on-site support at the Chantilly, VA facility as needed.Perform other duties and responsibilities as assigned.QualificationsBachelor's degree and/or equivalent relevant experience.Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.Security clearance is preferred but not required.Strong communication, organizational, and analytical skills.Excellent customer-service orientation with a positive, team-oriented attitude.Highly organized, efficient, and detail-oriented.Ability to prioritize multiple tasks in a deadline-driven environment.Strong written and verbal communication skills.Professional and courteous interaction with employees, vendors, guests, and leadership.Self-motivated with the ability to take on additional responsibilities as needed.Ideal candidate: Someone with facilities, office administration, receptionist, workplace services, property management, or corporate office coordination experience who is comfortable being the primary day-to-day facilities support person in a professional office environment.
