Compliance Coordinator
Position SummaryThe Compliance Coordinator supports regulatory and operational compliance efforts by assisting with test scheduling, processing and tracking test reports, supporting CERS (California Environmental Reporting System) reporting, and performing a variety of administrative and compliance-related tasks. This role ensures timely, accurate documentation and helps maintain adherence to applicable regulations, internal policies, and compliance standards.The Compliance Coordinator works closely with internal departments, vendors, technicians, and regulatory agencies to support compliance operations and maintain accurate records across multiple programs and jurisdictions.Responsibilities and Duties:Compliance Administration & ReportingCoordinate and schedule required compliance testing (e.g., environmental, safety, or regulatory testing) with internal teams and external vendorsTrack testing timelines and ensure deadlines are metReceive, review, process, and maintain test reports for accuracy and completenessAssist with CERS reporting, including data entry, updates, and submission supportMonitor compliance calendars and notify stakeholders of upcoming requirements, expirations, or renewalsMaintain organized records of compliance documentation in digital and/or physical filing systemsSupport audits and inspections by gathering, organizing, and providing requested documentationIdentify discrepancies or missing information and follow up to resolve issuesAssist with developing and improving compliance tracking systems, workflows, and proceduresCoordination & CommunicationCommunicate with regulatory agencies, vendors, technicians, and internal departments as neededCoordinate travel and hotel accommodations for compliance team members and technicians as requiredSupport ongoing communication related to testing schedules, reporting deadlines, and compliance updatesInventory & Operational SupportMaintain organization and tracking of compliance-related parts, supplies, and inventorySupport day-to-day operational and administrative tasks related to compliance activitiesPerform other related duties, tasks, and responsibilities as assigned based on business and operational needsEducation and Work ExperienceHigh school diploma or equivalent required; associate or bachelor's degree preferred in Environmental Science, Business, or related field1-3 years of administrative or compliance-related experience preferredFamiliarity with regulatory reporting systems such as CERS (California Environmental Reporting System) and Oregon DEQ (Department of Environmental Quality) preferredExperience working with databases, compliance software, or tracking systems is a plusSkill SetStrong organizational skills and attention to detailAbility to manage multiple tasks, deadlines, and priorities simultaneouslyStrong written and verbal communication skillsProficiency with Microsoft Office Suite, including Excel, Word, and OutlookProblem-solving skills with strong follow-through and accountabilityAbility to work independently and collaboratively in a team environmentDiscretion and professionalism when handling sensitive or regulatory informationStrong time management and prioritization abilitiesPhysical Demands and Work EnvironmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
