Studio Manager

NWI is a boutique style interior design firm, specializing in custom home builds, remodels and spec homes.We are seeking a highly organized, proactive, and strategic operations rockstar to oversee theday-to-day functioning of our interior design studio. This role is central to keeping the studio runningsmoothly — managing operations, improving processes, and supporting the design team so projectsmove forward efficiently and thoughtfully.You will be a key partner to the Principal, helping manage complex workflows, procurement, and studio logistics while creating structure behind the scenes. The ideal candidate brings strong leadership, sound judgment, and a calm, solutions-oriented approach. This is an opportunity to play a meaningful role in shaping and refining how the studio operates as the business continues to grow.Project & Design Operations SupportAssist with project coordination across multiple active projectsTrack key project milestones, approvals, and next stepsMaintain organized digital project files (drawings, specs, contracts, invoices)Support designers with administrative project tasks so creative time is protectedVendor, Showroom & Order CoordinationCommunicate with showrooms, vendors, and manufacturersTrack orders, lead times, acknowledgments, and deliveriesReview order confirmations and acknowledgments for accuracyFlag discrepancies, pricing changes, or backordersFollow up on delays, damages, or missing documentationProcurement & Billing SupportAssist with purchase order processing and documentationTrack invoices, deposits, balances, and payment schedulesPrepare billing support materials for client invoicesCoordinate with bookkeeper/accountant as neededClient Experience & CommunicationServe as a professional point of contact for clients when appropriateEnsure timely responses and clear communicationSupport onboarding and offboarding of clientsMaintain a polished, responsive, and organized client experienceOffice & Studio ManagementMaintain studio organization, supplies, and systemsSupport onboarding of new employees or internsHelp refine internal workflows and processesCoordinate logistics for installs, presentations, and meetingsConfidentiality & ProfessionalismRepresent the firm with professionalism and integrity at all timesQualificationsExperience in the design industry is highly desirableExcellent Phone Etiquette and strong Communication skillsProficiency in Administrative Assistance tasks and Clerical Skills, including organization andtime managementStrong attention to detail and problem-solving skillsAbility to work collaboratively in a fast-paced environmentProficiency in Mac + Office SuiteProficiency in Photoshop a perkProficiency in Houzz Pro a perkThis is an in-person position working from a well-established home-based design studio. Remote work may be considered after onboarding, based on demonstrated proficiency and mutual trust.Salary based on experience
