Job Title: Front Desk Office Assistant (Hospice Intake & Scheduling)Position SummaryWe are seeking a compassionate, organized, and detail-oriented Front Desk Office Assistant with experience in hospice intake and scheduling. This role serves as the first point of contact for patients, families, and referral sources, while also supporting intake coordination and staff scheduling to ensure seamless patient care delivery.Key ResponsibilitiesFront Desk & Administrative SupportGreet and assist visitors, patients, and families in a professional and empathetic mannerAnswer and direct incoming phone calls, taking accurate messages as neededManage front office operations including mail, supplies, and general administrative tasksMaintain a clean, organized, and welcoming reception areaHospice Intake CoordinationProcess new patient referrals and coordinate admissions in a timely mannerVerify patient information, insurance, and eligibilityCommunicate with referral sources, hospitals, and physiciansEnsure all required documentation is complete and compliant with regulationsEnter and maintain accurate data in EMR systemsSchedulingCoordinate and manage schedules for clinical staff (nurses, aides, social workers, etc.)Adjust schedules based on patient needs, staff availability, and urgent situationsCommunicate schedule changes effectively to team membersMaintain daily, weekly, and on-call schedulesQualificationsHigh school diploma or equivalent required; additional administrative or healthcare training preferredMinimum 1–2 years of experience in a healthcare setting, preferably hospice or home healthExperience with hospice intake and/or patient admissions strongly preferredProven scheduling experience in a clinical or service-based environmentProficiency with EMR systems and Microsoft Office (Word, Excel, Outlook)Skills & CompetenciesStrong organizational and multitasking abilitiesExcellent communication and interpersonal skillsCompassionate and patient-centered approachAbility to work in a fast-paced, emotionally sensitive environmentAttention to detail and problem-solving skillsAbility to maintain confidentiality and comply with HIPAA regulationsWork EnvironmentOffice-based role within a hospice or healthcare settingFrequent interaction with patients, families, and clinical staffMay require occasional flexibility in hours based on patient needsPreferred AttributesExperience with hospice EMR systems (e.g., HospiceMD)Knowledge of hospice regulations and processes
