The role requires discretion, initiative, and the ability to work independently while maintaining strong alignment with leadership goals.Key ResponsibilitiesDesign and implement workflows to improve efficiency, productivity, and scalabilityBuild and maintain project plans, roadmaps, and documentation using digital toolsCoordinate and manage teams to ensure projects stay on track and meet deadlinesPrepare for and support meetings, including scheduling, note-taking, and tracking action itemsDevelop templates and tools for reports, presentations, emails, and internal communicationsOrganize and format client-facing reports, proposals, and presentation materialsHandle administrative functions such as calendar management, travel coordination, expense tracking, and billable time trackingAssist with budget tracking and reportingManage and prioritize multiple projects simultaneously in a fast-paced environmentSkills & AttributesAdvanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)Strong experience with project management tools (e.g., Smartsheets, Asana)Comfortable working in Microsoft Teams and collaborative digital environmentsProactive, self-starting, and solutions-orientedHighly organized with strong attention to detailPassion for continuous improvement and learningCollaborative, kind, and supportive team contributorRequirements4+ years of experience as an Executive Assistant and/or Project ManagerExcellent communication, organization, multitasking, and presentation skillsBachelor's degree or equivalent professional experienceAbility to work in person in Portland, OR on a hybrid basis (not fully remote)Willingness to travel occasionally for meetings, events, and training #zr
