Office Coordinator The Office Coordinator provides administrative and operational support across Finance, Sales, and Event teams, with a strong focus on maintaining accurate records, supporting financial processes, and coordinating day-to-day office activities.This role serves as a central point of organization for the office and is ideal for someone who is detail-oriented, adaptable, and comfortable working across multiple departments.Key ResponsibilitiesServe as the first point of contact by answering phones, greeting visitors, and managing general inquiriesPerform administrative tasks including filing, scanning, mail handling, and document preparationSupport finance functions including accounts payable entry, payment tracking, assisting with supporting documentation for bank reconciliations, cash handling and deposit preparationMaintain and update internal schedules, calendars, and shared departmental spreadsheetsAssist with payroll administration including data entry and check distributionSupport sales operations by formatting and assembling contracts and proposals based on provided content, organizing event documentation, and coordinating the collection of required signatures.Maintain accurate and organized records, both physical and digitalAssist with event-related administrative tasks and coordination as neededOrder and maintain office and staff suppliesProvide general administrative support across departments and assist with special projectsAssist with large-scale events and in-house activities that require team supportRequired Knowledge, Skills, and AbilitiesStrong attention to detail and organizational skillsAbility to manage multiple responsibilities and shift prioritiesComfortable working with spreadsheets and data entrySelf-starter with strong communication and interpersonal skillsCompetent in Microsoft Office Suite; ability to learn other proprietary software as requiredTeam player, collaborative in style of work and positive attitudeQualificationsMinimum of two years of administrative experience requiredAccounting, finance, or event support experience preferredErgonomic RequirementsSitting, standing, stooping, bending, heavy lifting (50 pounds), carrying, repetitive movements due primarily to computer work. All of the ergonomic requirements must be performed without significant risk of injury to oneself or others, or otherwise demonstrate or explain how one can perform essential functions listed above.
