Event Manager
POSITION SUMMARY: The Event Manager will assist in the planning and oversee the execution of all large contract banquet events, including supervision of service staff, before, during and at the closing of all events. The Event Manager is responsible for ensuring implementation of all items in the Banquet Event Order (BEO). Serves as the liaison between the Sales Team and Operations Team. The position requires a combination of administrative in-office planning and onsite event setup/execution (nights, weekends, holidays).ESSENTIAL JOB DUTIES:· Assist Sales Team in the pre-event planning of culinary, beverage, setup/breakdown of the event space, and timelines for all large contracted banquet events and venue buyouts.· Communicate with Executive Chef, General Manager and Director of Event Sales to finalize all pre-event details of each BEO. Conduct BEO Resume meetings as needed.· Assist with administrative duties such as closing banquet checks, preparing purchase orders for event supplies, scheduling outside entertainment with vendors, and printing signage or event menus. · Ability to conduct site visits and venue inspections with event hosts as needed. · Build floorplans for event logistics as needed. · Work with Marketing and Graphic Designer to create menus, signage, and event print materials as needed. · Supervise the setup of each event, organize, and maintain inventory, and supervise all planned banquet functions in a timely manner.· Conduct pre-shift meeting to review BEO with service staff prior to each event.· Work with Restaurant Manager to assign side work to service staff before/after each event.· Train, motivate, discipline, and supervise service staff ensuring standards are met.· Responsible for service staff to be in proper uniform in compliance with company dress code.· Meet with Chef to coordinate timing of all meal services for kitchen staff and stewards.· Review timelines for service with client before start of each event.· Assist in creation of opening and closing checklists, implement SOP and follow up with service standards, monitor efficiency and cleanliness.· Responsible for over proper set-up, breakdown, and handling of all restaurant equipment.· Maintain event service equipment inventory and place supply orders as needed.· Reconcile event accounting at the conclusion of each event, properly fill out a daily event survey with service and execution notes. · Proper distribution of daily paperwork.LICENSE/QUALIFICATIONS: · High School Education or equivalent experience. · 3-4 years of experience in high-volume Banquet service. · Flexible Schedule (nights, weekends, holidays, as needed)· Experience handling beverages. · Food Handler Certified. · Ability to operate computer equipment.· Experience with TripleSeat a plus.· Ability to read, write and speak English. Bilingual a plus. · Experience in luxury Hospitality, Restaurant or Hotel Banquets, Nightlife, Beach Club, or other consumer-facing, service-based/distributed workforce environments required. · Able to work an 8 hour shift or longer; scheduled days and times may vary based on need.· Combination of office/administrative planning and onsite event execution.· Able to stand and walk for up to 8 hours.· Able to lift and carry up to 30 pounds. SKILLS/APTITUDES: · Attention to detail and highly organized.· Ability to work under pressure and multi-task. · An understanding of hospitality trends and an ability to respond to customers’ wishes.· Creativity and an ability to produce innovative and original ideas.· Teamwork skills.· Experience with high-volume operations, including managing front of house operations personnel and hospitality customer service. · Ability to Jump in and Lead by Example. · Excellent written and verbal communication skills.
