Warehouse Operations Manager – HVAC This role oversees daily warehouse operations for HVAC equipment and materials, ensuring accurate inventory control, efficient logistics, and safe use of warehouse equipment and facilities. The position manages all aspects of receiving, stocking, picking, staging, and shipping, while leading a warehouse team and coordinating closely with project and service teams to support commercial HVAC installations and field operations. Responsibilities Oversee and perform daily warehouse activities including receiving, stocking, picking, staging, and shipping HVAC equipment, parts, tools, and materials. Maintain a clean, safe, and compliant warehouse environment in alignment with OSHA and internal safety standards. Develop, implement, and enforce warehouse processes and procedures to improve accuracy, efficiency, and workflow. Price and order parts to ensure timely completion of jobs, track all lead times, and communicate status effectively to appropriate teams. Plan, handle, and maintain appropriate inventory levels for HVAC equipment, parts, tools, and consumables, ensuring availability aligns with seasonality, active jobs, and forecasted needs. Perform regular cycle counts and full physical inventories to verify inventory levels, identify discrepancies, and drive corrective actions. Develop, implement, and maintain inventory control systems to reduce shrinkage, improve traceability, and support accurate reporting. Accurately document inventory transactions and records in the system of record, ensuring data integrity and timely updates. Perform hands-on stocking and restocking of technician truck inventory, track usage levels, and ensure high-use items are available to support daily field operations. Source and price materials and parts needed for work orders, ensuring cost-effective and timely procurement. Create and track purchase orders to ensure materials are accurate, properly documented, and updated in the system. Coordinate deliveries to job sites, service teams, and customers, ensuring on-time and accurate shipments. Collaborate with project and service managers to forecast material needs for commercial HVAC installations and service work. Communicate with vendors and freight carriers to resolve delivery issues, discrepancies, and scheduling conflicts. Optimize routing and delivery schedules to reduce downtime, transportation costs, and delays. Facilitate maintenance and safe operation of forklifts, pallet jacks, and other warehouse equipment, ensuring proper use and adherence to safety guidelines. Manage loading dock operations and ensure proper handling of large HVAC units and sensitive components. Oversee truck fleet maintenance, including scheduling regular maintenance, periodically checking trucks for cleanliness, and securing all spare keys. Manage warehouse staff through strategic and proactive hiring, performance management, and, when necessary, disciplinary action and termination of employment. Provide coaching, mentoring, and training to warehouse team members to enhance professional development and increase overall department effectiveness. Work additional hours as needed to ensure responsibilities are met and operations run smoothly. Essential Skills Proven experience in warehouse operations, including receiving, stocking, picking, staging, and shipping. Hands-on experience with inventory control, cycle counting, and full physical inventory processes. Demonstrated ability to manage parts and materials for HVAC or similar technical environments. Proficiency in parts management, inventory control, and purchasing, including creating and tracking purchase requisitions and purchase orders. Experience with vendor communication and coordination, including resolving delivery issues and discrepancies. Ability to load trucks and manage loading dock operations safely and efficiently. Capability to operate forklifts and pallet jacks safely and in compliance with safety standards. Comfort working with HVAC equipment, components, and related materials. Familiarity with Microsoft Office for documentation, reporting, and communication. Ability to sit and work on a computer for extended periods while managing digital records and systems. Ability to push, carry, lift, and move materials up to 50 pounds, including loading trucks and vehicles with necessary supplies. Ability to climb ladders and move safely throughout warehouse and office areas, including flights of stairs. Strong organizational skills with attention to detail in documentation, inventory records, and process adherence. Effective communication skills to coordinate with internal teams, vendors, and freight carriers. Ability to work additional hours as needed to ensure operational needs are met. Additional Skills & Qualifications Experience in a warehouse environment supporting HVAC, mechanical, or construction-related operations. Background in managing technician truck inventory and supporting field operations. Exposure to developing and implementing warehouse processes and inventory control systems. Experience managing staff, including hiring, coaching, mentoring, performance management, and training. Familiarity with OSHA and general warehouse safety standards and best practices. Ability to optimize routing and delivery schedules to improve efficiency and reduce transportation costs. Comfort working with varying temperatures and noise levels in a warehouse environment. Strong problem-solving skills to address inventory discrepancies, delivery issues, and operational challenges. Why Work Here? Work Environment This role is based in a typical warehouse environment that includes both warehouse and office spaces. The position involves hands-on work with HVAC equipment, parts, and materials, as well as regular use of forklifts, pallet jacks, and other material-handling equipment. You will also interact with loading docks and truck fleets, ensuring safe and efficient operations. The role requires the flexibility to work additional hours when needed to meet operational demands and ensure that all responsibilities are completed. Job Type & Location This is a Contract to Hire position based out of Bohemia, NY. Pay and Benefits The pay range for this position is $24.00 - $29.00/hr.
