The Judicial Support Administrator 1 provides broad clerical, administrative, scheduling, and organizational support to the Director of the Office of Government Liaison and Public Relations. The position interacts with the public, screens calls and visitors, resolves general issues, coordinates courthouse visits from schools and other organizations, maintains department schedules and calendars, and enters data into computerized workflow systems. This role is eligible for a hybrid remote/on‑site schedule after a 90‑day period.
Responsibilities
Enter and track a high volume of requests and projects in computerized workflow systems, monitor progress and adherence to deadlines, and provide task assistance and updates to the Director.
Receive and process courthouse visit requests, coordinate with judges and judicial staff, and create supporting documents and calendar reminders for student visits.
Gather and organize data, compose correspondence and reports, proofread documents for accuracy and confidentiality, and produce properly formatted correspondence.
Schedule appointments, meetings, and maintain department calendars, including reminders for media hearings, student visits, and business meetings.
Set up and maintain office files and archival materials, process incoming mail and deliveries, prepare reports and paperwork for meetings, and perform data entry, shredding, scanning, filing, faxing, and photocopying.
Screen telephone calls and visitors, provide information, resolve issues, direct callers and visitors to appropriate departments, take messages, and follow up on pending tasks.
Attend staff and professional meetings, take minutes, transcribe, and distribute minutes to appropriate personnel.
Attend technical or professional classes, workshops, or seminars to improve skills.
Make travel arrangements and prepare travel authorization and reimbursement forms in accordance with state policies.
Interact with the public and maintain professional contacts with schools, community groups, justice and government partners, judges, and circuit administrative staff.
Oversee interns as assigned by the Director (if applicable).
Operate desktop computer, laptop, printer/copier, fax machine, folding machine, laminating machine, and related office equipment.
Perform related work as required.
Qualifications
Graduation from an accredited college with an associate’s degree in digital communications, public relations, communications, journalism, or a closely related field; bachelor’s degree preferred.
Three (3) years of experience in an administrative support role.
Knowledge, Skills, and Abilities (KSAs)
Take full ownership of assigned responsibilities and work independently.
Collect, classify, and track data for task and project management and produce related correspondence and reports.
Produce error‑free, grammatically correct, and properly formatted communications.
Possess excellent written and verbal communication skills and provide cordial, professional assistance.
Exhibit tactful and professional problem‑solving skills.
Strong competency in Microsoft Office365 (Word, Excel, PowerPoint) and Windows operating system.
Manage multiple tasks and deadlines, scheduling for a team of three or more.
Learn and use standard office equipment (printers, copiers, laminating machines) and office phone systems.
Working Conditions
Moderate noise; business office setting.
Physical Demands
Standing, walking, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 10 lbs.
