Personal Assistant (PA)

Overview We are seeking an energetic and highly organized Personal Assistant (PA) to provide comprehensive administrative support to our executive team in a dynamic office environment. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with precision and professionalism. Responsibilities Manage complex calendars and schedule appointments using Microsoft Outlook Calendar and Google Workspace, ensuring optimal time management. Coordinate meetings, conferences, and events from planning stages through execution, including venue arrangements, catering, and technology setup. Handle incoming calls with professional phone etiquette, screen messages, and direct inquiries efficiently using multi-line phone systems. Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail. Maintain organized filing systems both digitally and physically; manage confidential information with discretion. Support bookkeeping activities using online software, including data entry, invoicing, and basic bookkeeping tasks. Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items. Perform office management duties such as ordering supplies, managing office equipment, and overseeing front desk operations. Conduct data entry tasks to update databases and ensure information accuracy across platforms. Provide executive administrative support by managing travel arrangements, expense reports via DocuSign, and other personal assistance needs. Requirements Proven experience as a personal assistant or in an administrative support role within an office environment. Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar. Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting. Demonstrated experience in event planning and project coordination. Proficient typing skills along with transcription and proofreading abilities to produce clear professional documents. Knowledge of online bookeeping for bookkeeping activities; experience with data entry and filing systems is essential. Exceptional communication skills with polished phone etiquette for multi-line phone systems. Office management experience including front desk duties and handling office supplies. Strong computer literacy with the ability to adapt quickly to new software or tools as needed. Ability to handle confidential information discreetly while maintaining professionalism at all times.
