The Animal Center Office Manager plays a vital role in the daily operations of the adoption center, ensuring the administrative, financial, animalcare, adoption center oversight and front-office functions run smoothly and efficiently. This position serves as a key support to leadership, staff,volunteers, and the public while helping maintain a compassionate, organized, and professional environment that supports the mission of animal welfare.Key ResponsibilitiesAdministrative & Office OperationsOversee daily front-office operations and ensure a welcoming, professional experience for visitors, adopters, and donors as wellas the intake and outcome of all animalsManage office supplies, equipment, records, and filing systems (digital and physical)Maintain accurate documentation related to adoptions, intakes, transfers, and owner surrenders and keep all animal records up todate in the database on a regular basisAssist with scheduling, calendars, and internal communicationsPlace orders for general and veterinary supplies as neededEnsure compliance with policies, procedures, and confidentiality standardsFinancial & Record ManagementProcess donations, adoption fees, and other payments accuratelyMaintain financial records and assist with deposits, invoices, and basic bookkeepingSupport budget tracking and expense monitoringPrepare reports as requested by leadershipCalculate time cards and submit payroll to business office in a timely mannerHuman Resources & Volunteer SupportAssist with onboarding and administrative support for staff and volunteersMaintain personnel and volunteer recordsPrepare work schedules and post promptlySupport scheduling and communication with volunteers as neededProvides clear direction, instruction and communication with all Center employeesManage employees and any challenges that arisePublic Interaction & Customer ServiceServe as a primary point of contact for phone calls, emails, and in-person inquiriesProvide clear, compassionate information regarding adoptions, programs, and servicesHandle sensitive situations with professionalism, confidentiality and empathyPartners with and maintains professional working relationships with veterinarian offices, fosters and other outside organizations regarding animal careCommunicate effectively with veterinarians and make decisions for sick/injured animalsSupport for Programs & EventsAssist with coordination of adoption events, fundraisers, and community outreachPrepare materials, forms, and communications related to special eventsAnimal Care ResponsibilitiesTrack proper feeding quantities, watering and medication daily, and ensure proper protocol is followedBe familiar with and follow all vaccination protocolsTrack all booster vaccines, heartworm prevention, and flea/tick prevention and their administration for all animalsAbility to quickly evaluate the health and temperament of animals and check animals daily for any illness or behavioral issues/changes.Ability and knowledge to safely handle nervous animalsSet up and coordinate spay/neuter appointment for all animals at the CenterMaintain food orders and ensure product safety/freshnessAdoption Center OversightOversee cleanliness of entire Center by following proper cleaning protocols for disease prevention and controlFollow all safety protocols to ensure the safety of all staff, animals and visitorsDirect/Instruct staff on all Center and Animal related information (medical treatments, testing, vaccine protocols, various medications and other general information)QualificationsHave genuine compassion for animals and commitment to their welfareMust have no prior animal cruelty arrests or convictionsPrior management experience requiredPrior shelter/veterinary office experienceAbility to multitask at a high levelProficiency with computers and the ability to learn all programs and technology used in the officeHave the ability to safely handle and restrain animals of varying sizes, breeds and temperaments.Must be comfortable administering medication, vaccines, and blood tests (training provided)Ability to stand, walk, bend and lift up to 50 poundsMust be comfortable performing physical and administrative duties in an animal care environmentMust have the ability to transport animals via car/van as needed (valid driver’s license required)Schedule & Work EnvironmentAdoption Center is open to the public 10AM-4PM Tuesday - SaturdayManager’s working schedule is 8AM-4PM Tuesday - SaturdayMust be punctual and login everyday upon arrivalHSSC shirts (provided by Center) to be worn so visitors can distinguish employees/volunteersNo personal animals allowed at Center for the safety of all staff, visitors and Center animalsAll work to be performed at the Center, no documents are to be removed from office or taken offsite
