On-site Operations Coordinator
Role SummaryThe Site Lead will be responsible for the day-to-day operational management of program activities at their designated site. They will oversee participant coordination and onboarding, manage devices and equipment, ensure adherence to protocols, and facilitate smooth execution of the program. The role requires a hands-on approach, including troubleshooting devices, maintaining accurate records, guiding participants, and ensuring program goals are achieved.This is a freelance (1099) contract role with an estimated duration of 3–4 months.Key ResponsibilitiesDevice & Equipment ManagementOversee allocation, tracking, and maintenance of program devices and related equipment.Maintain accurate logs of devices assigned to participants.Ensure timely shipping, receiving, and redistribution of devices across locations.Participant Coordination & OnboardingCoordinate participant schedules, onboarding sessions, and protocol briefings.Welcome participants, guide them through the informed consent form (ICF) process, and register them in the program.Conduct the initial participant training on program protocols.Participant Support & TroubleshootingProvide on-site and remote troubleshooting for devices.Visit participant homes (as required) to resolve device or protocol issues.Conduct random QA checks in coordination with participants to ensure data quality.Protocol Guidance & Creativity SupportEducate participants on protocols and best practices.Provide creative guidance and suggestions for shoot ideas to enhance content quality.Maintain a tracker of all scenarios covered by participants to ensure comprehensive coverage.Content & Data ManagementAssist in content offloading from participant devices.Support final content uploads where needed.Ensure proper storage, labeling, and organization of content files for easy reference.Program Delivery & Site OperationsTrack and monitor site-level progress against program goals and KPIs.Address operational issues promptly to minimize disruptions.Share feedback and insights with the central program team to improve processes.Skills & CompetenciesStrong organizational and coordination skills.Excellent communication and interpersonal skills.Technical proficiency and ability to troubleshoot basic device issues.Problem-solving mindset with the ability to work independently.Knowledge of QA processes and protocol compliance.Creativity and ability to guide participants on innovative content generation.
