Position Overview:The primary responsibility of the Lakeside Commons Welcome Desk Associate is to support the services and amenities within the Lakeside Commons building and provide information to independent living residents, staff and visitors. Essential Job Functions:General DutiesBe familiar with building functions, processes and independent living residents in order to provide a welcoming and helpful environment for residents, Bluestem Communities staff, and visitors.Maintain familiarity with services, programming and amenities available to independent living residents Assist with Lakeside Commons building communication and logistics for events, service outages, emergencies, and other needs Schedule and coordinate reservations for all Lakeside Commons gathering spaces using Outlook calendars. Check out keys for various building amenities. Process overnight guest room reservations, payment, and corresponding communicationReceive payments from residents, families and staff. Maintain petty cash, keys, and ledgers accordinglyOpen/close areas of the Lakeside building Update resident demographic information in Bluestem systemsField inquiries from prospective residents and refer them to the Senior Living Advisors Submit maintenance work-order requests and other notifications Receive and distribute incoming Lakeside Commons mail, packages, memosPrint resident directories, newsletters and other materials as requested by residentsMonitor supplies of materials, forms, and supplies at the desk and in lobby areaManage lost and found process Filter book donations to the Lakeside Commons resident library Safety DutiesMonitor cameras in pool area and throughout facility to promote safety and securityRespond to incidents or emergencies according to protocol, including contacting EMS, and serving as the first incident commander for fire alarms at Lakeside buildingReport accidents, incidents or concerns according to policies Wellness Center DutiesEnroll new Wellness Center members and assist with maintenance of membership filesCollect membership payments Check-in Wellness Center members who need assistanceAssist Wellness Center management with contacting members when classes are cancelled Independent Living Staff CollaborationCommunicate resident concerns to independent living staff team and other managers Collaborate with independent living staff team, providing input and ideas on overall improvement of the resident experienceProvide administrative assistance to independent living team as requested Welcome Desk CollaborationCollaborate with other Schowalter Villa and Bluestem Communities welcome desk personnel Qualifications and Experience:Must be at least 18 years of ageMust have outstanding skills in customer service, initiative and resourcefulnessMust be proficient in Microsoft applications: Word, Outlook, ExcelMust be able to use technology comfortably, embracing new systems and servicesPrefer prior Receptionist/Secretarial experience Physical Requirements:Medium Work - Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently and/or greater than negligible up to 10 pounds of force constantly.
