Description:
SUMMARY OF DUTIES: To greet, register and/or check-out all patients at the registration area, verifying necessary information and collecting all up-front payments.
ESSENTIAL DUTIES AND RESPONSIBILITES include the following:
Greets patients at each visit in a prompt, courteous and friendly manner
New patients: Obtains, enters and reviews for completeness
Hands out to each new patient: Patient Demographic Form, Notice of Privacy Practices Patient Rights and Responsibilities, Authorization for Release of Patient Information Form and HIV and AIDS information.
Patient information
Name, address, phone numbers, date of birth, sex and social security number
Responsible party including address and phone numbers and relation to patient
PCP
Marital Status
Employer Name
Employee Status
Student Status
Emergency Contact including address and phone numbers
Insurance and pharmacy
Release of Information
Signature Date
Information for UDS reports including household and income size.
Photo of patients.
Notifies outreach worker of patients in need of assistance.
Verifies and updates at each visit utilizing the Kiosk System
Reads and follows all billing alerts
Name, address, phone numbers and date of birth
Responsible Party’s information
Marital Status
Emergency Contact including phone number
Insurance and pharmacy
Verify coverage through IE
Collects, post and give receipt for patient payments
Marks patients arrived
End of each visit
Makes return appointment and provides slip
Checks patient out in the system
Once a year verifies and updates

Household size
Annual Income
Updates Photo
End of the day duties
Tallies copay received for the daily encounter report.
Balances cash drawer: maintains $100.00 with no overages or shortages.
Runs end of the day report on check scanner
Runs end of the day report on credit card machine
Locks lobby doors and turns off lights
Leaves area neat and clean
Other duties
Schedules follow up appointment according to clinic protocols
Answers incoming calls promptly
Take messages obtaining patient’s name, DOB, and phone number. Takes concise accurate messages
Distributes incoming faxes and faxes outgoing faxes
Scans and files information into EMR
Monitors waiting room for movement of patients
Reports problems or irregularities to clinic manager
Keeps waiting room neat and orderly
Provides coverage in the absence of other employees as needed
Other duties or assignments as requested by supervisor or management
Requirements:
EDUCATION AND/OR EXPERIENCE: High School graduate or equivalent. CMA preferred. One year of related work experience required. Excellent guest service, communication and multi-tasking skills required. At times, you will need to be able to perform under pressure and emergency conditions. Will require both mental and physical flexibility to meet the dynamic demands of the healthcare environment. Requires decision-making capacity within the parameters of the organization’s policies/procedures and current standards of care.
SOFTWARE SKILLS: Experience with eClinical Works is a plus. Must be proficient with MS office suite.
WORKING CONDITIONS:
Normal office environment with occasional evening or weekend work
Periodic local, state and national travel; travel between Health Center and Administrative Sites
Physical Demands: Lifting, bending, reaching, pushing, carrying, sitting, vision corrected in normal range, hearing corrected in normal range
Hazardous Conditions: Exposure to infectious diseases; potential exposure to physical violence
Machines, equipment, tools and supplies used: computer, postage machine, fax, copier, calculator, multi-line phone system
