Office Assistant - ElementaryAssist school office, professional staff and departments with a variety of typing, recordkeeping, attendance, data entry, and other clerical duties. Welcome and provide assistance and information to the parents, students, visitors, volunteers, and staff.QualificationsEducation and/or experience equivalent to a High School Diploma or GEDOne (1) year of general office clerical experienceState of Arizona Identity Verified (IVP) Fingerprint Clearance CardCompletion of District administered skills testsSome positions may require fluency in SpanishSome positions may require a valid Driver's LicenseDuties and ResponsibilitiesProvide public relations support to office staff by interacting in person and by telephone with parents, students, visitors, volunteers, and staff.Receive and records daily student attendance; enter attendance data into informational databases.Track attendance and truancy; contact parents of absent children.Input data into computer and run data.Prepare new student packets; register new students and ensure all records are available as requested.Maintain all aspects of student registration and files including paper and electronic records; forward copies to new school when transferring.Contact Attendance Officer regarding truant students; provide appropriate documentationRespond to telephone calls dealing with discipline and attendance issues.Process lunch program applications.Assist with the mailing of report cards and other documents.Process lunch fees, activity funds, and other related monetary duties.Inventory office supplies and materials.May dispense medications to students in the absence of Nurse.May translate for Spanish speaking parents.Assume duties in absence of School Office Manager.Perform other duties as assigned.Knowledge, Skills and Other CharacteristicsKnowledge of District attendance, registration, and record keeping policies and proceduresKnowledge of customer service/public relations methods, practices and proceduresKnowledge of interpreting and translating verbal and written English to Spanish preferredKnowledge of computer applications related to assignmentSkill utilizing verbal and written communication skills to develop correspondence, reports, and specialized materials and spreadsheetsSkill utilizing customer service techniques in responding to requests, inquiries and complaintsSkill maintaining, updating and retrieving information related to student attendance, registration, tracking and withdrawalsSkill maintaining confidential files and recordsSkill establishing and maintaining effective working relationshipsSkill in caring for ill children in absence of nurseAbility to work on multiple tasks simultaneously with frequent interruptionsWorking ConditionsGeneral office environment with extensive student and public contactRepetitive motion and eye strain through extensive utilization of computer hardware and software.May require lifting materials and supplies weighing up to 25 poundsWork Year: 223 DaysDepartment/School: Elementary SchoolGrade: 36Reports To: PrincipalEvaluation: Classified Personnel EvaluationSupervises: N/A
