Summary Of PositionThe Administrative Assistant with WaterBridge Resources will be responsible for all administrative duties, supporting the Permian Basin out of the Pecos office. Strong communication skills are essential for this position, as operations staff are not based in the office, and liaising with headquarters in Houston is required. Attention to detail is imperative. The Administrative Assistant should be self-motivated, have excellent customer service and be highly organized.Primary Duties & ResponsibilitiesThe following represents most of the duties performed by the position but is not meant to be all-inclusive nor prevent other duties from being assigned when necessary. Employees are expected to comply with all regulatory, environmental, and safety rules and standards, as well as corporate policies.As An Administrative Assistant, You Will Be Responsible ForProviding administrative assistance to operations team.Assisting in the coordination and execution of overall administrative activities for the office, including filing, answering phone calls, responding to emails, and preparing documents.Organizing and scheduling appointments.Setting up and conducting interviews.Reporting interview results to the hiring managers and human resources (results include offers or passes on the interviews).Collaborating with the Senior Recruiter on potential candidates and open positions.Collaborate with IT on technology equipment needed out in the field (laptops, cell phones, and tablets).Processing incoming and outgoing mail; ensuring proper postage/shipping labels are affixed to outgoing mail and determining proper recipient of incoming mail and ensures timely delivery.Planning meetings and taking detailed minutes, as needed.Assisting in the preparation of reports.Developing and maintaining electronic records according to records retention schedule.Maintaining organization chart for all employees (name, contact, department, etc.).Ordering supplies for department and researching new deals and suppliers for department.Maintaining Outlook calendars, e-mail, and contact for managers, as needed.Booking travel arrangements.Reconciling and submitting expense and oil sales reports.Providing general support to visitors.Acting as the point of contact of all internal and external clients.Keeping up with vendor records and updating when and if necessary.Managing maintenance requests.Sorting and organizing information, generating meaningful reports to support decision making.Organizing invoices, paperwork, and reports.Performing accounting tasks, including invoicing and budget tracking.Assisting with new hire paperwork and I-9 processing.Supporting cross-functional alignment and coordination for process such as Business Planning, Data Privacy, Mobility, Facility Information Management, and others.Qualifications & RequirementsMust have high school diploma or GED.Must have 1+ years of administrative assistant or executive assistant experience.Must have software experience such as Concur and Microsoft Office Suite.Must be highly organized and have a strong sense of teamwork.Be able to provide excellent customer service, interpersonal, and communication skills.Be able to demonstrate time-management, multi-tasking skills and have initiative.Live in Pecos, TX or within a 30-mile radius from Pecos, TX required.Company paid housing will be provided during your working shift.Working Conditions/EnvironmentOperates in a professional and/or business casual office environment in a field office.Position TypeThis is a full-time position.Position Location:Pecos, TXBenefitsAt WaterBridge, our employee benefits include, but are not limited to, the following:If eligible, company paid housing will be provided during working shiftsMedical, Dental, Vision, & Prescription Drug CoverageVoluntary Life Insurance for Employee, Spouse, & Child(ren)Employee Basic Life and AD&D Insurance – Company PaidShort Term & Long Term Disability – Company Paid401(k) or Roth 401(k) Retirement Plan, plus a company matchFlexible Paid Time OffAnd many other benefits not listed hereAbout UsThe WaterBridge group of companies is a fast-paced and growing organization.
