Project Coordinator
Overview
As a Project Coordinator at TAI, you will support the end-to-end execution of capital and operational projects, partnering with Project Managers, vendors, and operations to keep milestones on track. You’ll manage documentation, schedules, dashboards, and cost tracking, ensuring clear communication across stakeholders. This role sits at the heart of cross-functional project delivery in an industrial setting. You’ll contribute to meaningful, complex projects and help optimize execution and reporting processes.

ResponsibilitiesSupport project managers in coordinating capital and operational projectsMaintain project docs, meeting notes, and action item logsTrack milestones, deliverables, and key datesPrepare status reports, dashboards, and executive summariesAssist with closeout documentation and turnoverDevelop and maintain project schedules using Smartsheet and other toolsMonitor schedule progress and risks, collect updates from stakeholdersMaintain dashboards and reporting metrics; support forecastingAssist with budget updates, accruals, and financial reportingCreate and process purchase requisitions and POs; track vendor interactionsCoordinate project meetings; distribute agendas and minutes; ensure timely updatesFacilitate communication among project teams, contractors, suppliers, and operations personnelEnsure accurate and timely project information dissemination
Key requirements2-5 years in project coordination, administration, engineering support, or construction projectsSmartsheet experience requiredExperience supporting multiple concurrent projectsIndustrial manufacturing, chemical processing, construction, engineering or capital project experience preferredStrong proficiency in Microsoft Office SuiteExperience with project scheduling and reporting toolsFamiliarity with purchase requisition and PO processesBasic understanding of project budgeting, accruals, and cost trackingExperience with ERP systems (e.g., Aptean Ross, SAP, Oracle, NetSuite) a plushighly organizedstrong communication and stakeholder managementdetail-orientedSmartsheetMicrosoft Office Suite (Excel, Word, PowerPoint, Outlook)project scheduling and reporting tools
