Project Manager – Jobvite ImplementationLocation: Scottsdale, AZ (Hybrid – 3 days onsite, 8:00 AM–4:00 PM)Department: Talent Attraction / Talent ExperienceType: Contract (Full-Time, Project-Based)Reports To: Head of Talent AttractionStart Date: ASAPDuration & Rate: Based on experience and project scopeSummaryWe are seeking a contract Project Manager to lead the end-to-end implementation of Jobvite as our new Applicant Tracking System (ATS), replacing Greenhouse.This is a high-visibility, fast-moving initiative with limited vendor implementation support. The selected candidate will partner closely with Talent Attraction, HR, IT, and business stakeholders to drive all phases of the rollout.The ideal candidate is a structured, hands-on implementation leader who thrives in ambiguity, drives accountability across cross-functional teams, and is comfortable owning both strategic planning and detailed execution.Key ResponsibilitiesProject Leadership & GovernanceOwn the overall implementation plan, including scope, milestones, critical path, and success metricsEstablish project governance (workstream cadence, agendas, decision logs, RAID logs, RACI alignment)Provide clear written and verbal status updates to executive stakeholdersDrive alignment and accountability across HR, IT, security, and business leadersRisk, Issues & Dependency ManagementProactively identify risks and interdependencies across workstreamsMaintain a detailed RAID log with mitigation plans and accountable ownersEscalate blockers with recommended solutionsEnsure decisions are documented and actionedIntegration & Data Model DesignPartner with HRIS/IT to define and document integrations between Jobvite and:HRIS systemsBackground check providersAssessment platformsReporting/analytics toolsSSO and security systemsDesign and implement a scalable parent/child recruiting data structure (requisition hierarchies, job families, campaign vs. requisition models)Define governance, ownership, and long-term data quality controlsEnsure integrations and data architecture support reporting and compliance requirementsConfiguration, Process Redesign & DocumentationCoordinate system configuration (workflows, stages, forms, permissions, templates, approvals)Map and redesign recruiting processes (current state ? future state)Develop and maintain version-controlled documentation, including:Business requirementsFunctional specificationsProcess maps and SOPsConfiguration workbooksIntegration requirements and data flowsData migration and cutover plansTraining, UAT & Change ManagementDevelop training materials (guides, job aids, quick reference materials, short videos)Lead User Acceptance Testing (UAT): test scenarios, scripts, defect tracking, and sign-offPartner with HR Communications on go-live readiness and adoption strategyEnsure end users understand new processes and support channelsExecution & Delivery AccountabilityHold cross-functional teams accountable to timelines and deliverablesRun focused, outcome-driven project meetingsTrack detailed action items and ensure follow-throughMaintain a strong focus on go-live readiness and stabilizationRequired Qualifications3–5+ years of project management experienceProven experience leading HR technology or ATS implementationsExperience managing complex, multi-system integrationsStrong capabilities in:Project planning and critical path managementRisk and issue managementStakeholder alignment across HR and ITDriving accountability in matrixed environmentsDemonstrated ability to produce high-quality documentationAbility to self-direct and operate effectively with limited vendor supportExcellent written and verbal communication skillsPreferred QualificationsDirect experience implementing JobviteExperience with enterprise ATS platforms such as:Workday RecruitingiCIMSLeverExperience in Talent Acquisition or HR environmentsExperience designing hierarchical or parent/child data modelsKnowledge of data migration and UAT best practicesPMP, Scrum Master, or Agile certification preferred
