The Product Compliance & Documentation Coordinator is responsible for ensuring that every apparel style and material used by the company is fully compliant with U.S. regulatory requirements and supported by complete, accurate testing documentation.
This role owns the end-to-end tracking, collection, organization, and system upload of compliance paperwork for all styles and ensures all required documentation is properly stored in Centric PLM and available for audits, certifications, and government submissions.
This is a highly organized, detail-driven coordination role, not a technical compliance or design position. The ideal candidate is process-oriented, dependable, and comfortable managing large volumes of documentation across many styles and materials.
Essential Duties & Responsibilities
Compliance Ownership
Ensure every style number, new and existing, has complete and compliant testing documentation on file
Verify that all materials listed in the BOM (fabrics, trims, prints, coatings, components) are supported by the appropriate testing paperwork
Confirm that no style moves forward without required compliance documentation
Testing Documentation Management
Collect required compliance testing reports from vendors and mills, including:
CPSIA testing (lead, phthalates, flammability, where applicable)
Any additional required safety or regulatory documentation
Follow up with vendors proactively to close documentation gaps
Track missing, expired, or incomplete test reports and escalate as needed
Centric PLM System Ownership
Upload all testing reports into Centric PLM, including:
Style records
Material library records
Ensure documentation is:
Correctly named
Properly linked to the correct style and material
Organized for easy audit and retrieval
Maintain a clean, accurate compliance record within Centric
Certification & Recordkeeping
Support the process of certifying styles by ensuring all required paperwork is complete and available by certified labs
Maintain organized digital records for:
Internal audits
Vendor audits
Regulatory or government requests
Assist with uploading or preparing documentation required for government or regulatory submissions, as directed
Vendor & Mill Compliance Support
Act as a point of contact for compliance with documentation requests to vendors and mills
Ensure vendors understand what documentation is required and when it must be submitted
Support mill-level compliance tracking by ensuring required documentation is collected and filed
Process & Tracking
Maintain trackers or dashboards to monitor:
Compliance status by style
Documentation completeness
Outstanding vendor requests
Qualifications and Experience
Exceptional attention to detail and accuracy
Strong organizational skills with the ability to manage large volumes of documentation
Proven follow-through and comfort owning tasks end-to-end
Ability to work methodically with checklists, trackers, and defined processes
Comfort working in systems and databases (PLM, spreadsheets, shared drives)
Clear written and verbal communication skills
Highly dependable, deadline-driven, and accountable

Experience in:
Operations
Administrative coordination
Executive assistant or project coordinator roles
Experience working with:
PLM systems (Centric a plus)
Vendor-facing documentation
Apparel, manufacturing, material development or product compliance exposure is a plus but not required
