The role is 100% in office.Job SummaryWe are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.ResponsibilitiesThe Administrative Assistant will be entrusted with a variety of responsibilities, including but not limited to:Support project managers and estimating team with administrative tasks, reporting, and schedule managementCoordinate project administration, ensuring all necessary paperwork (contracts, permits, insurance, etc.) is processed efficiently.Manage and update project databases, ensuring accuracy and accessibility of information.Liaise with project stakeholders (clients, subcontractors, vendors) to ensure smooth communication and project progress.Answer incoming phone calls and route them to the appropriate personSchedule appointments and maintain a calendarOrganize meetings and take accurate minutes Write emails, memos, and letters and distribute them appropriatelyKeep inventory of office supplies and place ordersQualificationsHigh school diploma/GED required; Associate’s degree, Bachelor's degree, or administrative training is preferredPrevious experience as an Administrative Assistant or in a similar position preferred, especially experience in commercial construction or a related fieldFamiliarity with standard office equipment such as printers and fax machinesExcellent computer skills and knowledge of Microsoft Word, Outlook, Excel, and PowerPointHighly organized with excellent time management skills, attention to detail, and the ability to prioritize projectsSalary and BenefitsWe offer a competitive salary range of $60,000 to $70,000 per year, depending on experience.
