Its dedicated nurse care managers, all with experience in reproductive endocrinology clinics, guide employees through every step of their fertility journey, and are available 24/7.SUMMARY OF DUTIESThis is an onsite Executive Assistant role to the CEO of one of the nations leading health company which is fast growing and entrepreneurial. The Ideal candidate MUST have experience as a C-suite executive assistant in entrepreneurial and or a large corporate environment. Executive Assistant will be reporting directly to the CEO providing executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters. The Executive Assistant must be creative and enjoy working within the entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.ESSENTIAL FUNCTIONSOversee strategic business initiatives from development through successful execution under the guidance of the CEO and senior leadershipCompletes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence that is confidential; arranging travel plans; generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and managing building management tasks and issues itineraries, and agendas.Improve current processes and coordinate organizational procedures for optimized efficiency and productivityOrganize and coordinate staff functions and activitiesSuccessfully completes critical aspects of deliverables with a hands-on-approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEOs ability to effectively lead the company.Manage company calendar and ensure deadlines are being metBe a liaison for staff, chief executives, department leaders, and CEOAssist CEO with internal communication in addition to partnering with the Director of Human Resources to attend to staff needs, ensuring any problems are resolvedIn conjunction with the Director of Human Resources, keep CEO abreast on current company climate (employee wellbeing, project statuses, new proposals, etc.)Attend executive meetings as requested by CEO and deliver progress reportsServe as liaison between staff, executives, senior leaders, and CEO, regarding company climate, employee well-being, project updates, proposals, and planningAssist the human resources department with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concernsBuild and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with CEO and executives on special projectsServe as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communicationsPrioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.KNOWLEDGE, SKILLS AND ABILITIESMust have strong work tenure: five to 10 years of experience supporting C-Level Executives in an entrepreneurial and or a large corporate environment.Must have advanced proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platformsStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detailHighly resourceful team-player, with the ability to also be extremely effective independentlyStrong project reporting skills, with a focus on interdepartmental communication Ability to problem-solve operational issuesAbility to work autonomously in a fast-paced environmentAbility to maintain a high level of integrity and discretion in handling confidential information.Strong analytical and negotiation skillsStrong verbal and written communication skillsStrong interpersonal skills and an ability for productive collaboration across varying departmentsPossess an encouraging, can-do attitudeImpeccable time management and multi-tasking skillsDemonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environmentProven problem solver who can make clear-headed decisions while under pressureHighly experienced with project coordinating and managementEmotional maturity, self-motivated and self-sufficientForward looking thinker, who actively seeks opportunities and proposes solutionsAbility to switch gears at a moments notice.Preferred Attributes:Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.Commitment to excellence - perform duties at the highest level possible on a consistent basis.Excellent communicator - able to interact with people of all levels in a confident, professional manner.Demonstrate ability and temperament to work with sensitive information.Team player - have team-oriented experience and approach.Servicer focus -dedicated to meeting the expectations of the CEO and other senior executives by maintain effective relationship with interested parties.Ability to think outside of the box with a sense of urgency.This position is an outstanding opportunity for a highly-motivated seasoned executive assistant to assume a pivotal role in the evolution of a fast-growing, highly-respected organization.
