Receptionist

We have a client in El Segundo, CA seeking a Receptionist on a long-term contract basis.Hours are 9am-5pm daily with a 30 min lunchThis role would be sitting at a busy front desk and would need to juggle visitors along with doing other related work.Position would start ASAP!Pay is $22/hrResponsibilitiesDirect incoming calls and communicationsMeet and greet clients, visitors and all levels of staffSupport guest needs, e.g. on-site parking during meetings, transportation arrangementsCoordinate conference room assignments for meetings and presentationsMaintain and oversee office appearance and organization: conference rooms, receptionist area, supply rooms, and general office areasOrder meals for business meetingsOrder office suppliesInteract and follow up with building personnel, including building superintendent and janitorial service, as well as office vendors to ensure timely repair and maintenance of facilitiesHandle incoming and outgoing mail and courier deliveries, including Certified Mail, FedEx and UPSProvide general administrative support to the investment teamOversee and maintain the investment teams’ calendar; schedule meetings, appointments, calls, travel (international & domestic), and conferences; create itineraries and agendasPrepare expense reports for the investment teamAssist in the preparation of materials for meetings and presentationsAssist with other related clerical duties such as scanning, photocopying, faxing and filing documentsAssist in organizing special eventsRequirementsAssociate’s degree or two years of related experience; college degree strongly preferredAdvanced proficiency in Microsoft Office SuiteProfessional appearanceStrong ability to multi-task and adeptness at managing timeExcellent verbal and written communication skillsClient service orientedMaintain flexibility and adaptability as assignments or support roles change with the Firm's needsTake initiative for the Firm’s needs within the scope of dutiesMust be team oriented and able to work collaboratively with Administrative team and all personnelAct as the go-to person for the officeTake initiative to improve work efficiency and the work environmentGmail for calendaring
