Job Summary:
This individual will be the initial contact at the front desk, and in person, and over the phone and act as a liaison between customers and McElroy’s staff. Maintains favorable customer relations through proper handling of customer inquiries, exercises discretionary judgment and initiative regarding problems and inquiries within the limits of policies, procedures, and training. This position is responsible for a variety of customer service needs that occur during business, including expansion and growth. Additionally, this position will provide general office support.
Responsibilities:
1. Work closely with both Accounting and Customer Service Departments and understand the specific roles of all individuals.
2. Able to communicate and handle difficult situations with internal and external contacts.
3. Ability to read and understand customer accounts to determine credits and debits; and help answer customer questions on how much they owe.
4. Create and distribute past due statements to clients.
5. Collections of past due accounts both residential and commercial, including collections attorney (Butler & Associates).
6. Provide customers with digital PDF invoices they request.
a. Help customers with accounting questions/issues, including posted payments and credit/debit questions.
7. Provide invoice dollar amount to customers.
8. Take payments over the phone (Accts Receivable).
9. Follow up conversation calls with clients with the end goal to please the customer and lead to implementation of customer service improvement through dispatching, accounting, sales, and technicians.
Major Challenges:
1. Courteous and accurate service with customers/staff.
2. Maintains a high level of communication constantly between customers and McElroy's staff.
3. Must be able to multitask and keep composure in stressful situations.
Training, education or certifications:
1. High School Diploma or GED required
2. Associate degree in accounting/business field or equivalent from a two-year college or technical school is preferred
3. May be able to substitute relevant experience for education.
Knowledge:
1. Microsoft Word, Excel, Outlook software
2. ERP software preferred
Experience:
1. 1-2 years customer service experience
2. 1-2 years office administration experience
